Admin Assistant Full Time

This role focuses on providing administrative and coordination support to management and team members, helping optimize daily operations and overall team efficiency. The successful candidate will manage scheduling, communications, and administrative processes while supporting financial and reporting activities.

This position is well suited to a highly organized professional who enjoys supporting teams, managing multiple priorities, and working in a fast-paced office environment.

Responsibilities

• Manage calendars, schedule meetings, and coordinate day-to-day activities for management
• Prepare and send professional communications including emails, meeting agendas, and notes
• Support administrative tasks across the team to improve overall efficiency and capacity
• Assist with onboarding coordination and general office support activities
• Maintain office systems, tools, and equipment
• Pull and compile data from internal systems and provide reporting support to the business
• Perform expense report data entry and support accounts payable processes
• Assist with financial tracking activities, including variance reporting and document management
• Coordinate and send meeting reminders and follow-ups
• Support budget coordination activities as required
• Maintain accurate records and documentation following internal procedures
• Ensure confidentiality and proper handling of sensitive information

Requirements

• Minimum 1+ year of administrative or office support experience
• High school diploma or equivalent
• Strong proficiency in MS Office (Word, Outlook, PowerPoint)
• Ability to pull, organize, and present data for reporting purposes
• Strong organizational and time management skills
• Excellent communication skills
• Strong attention to detail and ability to manage multiple tasks
• Ability to work independently and support a team environment

Assets

• Experience supporting business operations or project teams
• Familiarity with expense processing and basic financial coordination
• Experience maintaining office systems and supporting onboarding processes
