Where the role is based…

We are currently looking for a Finance Assistant to join the Finance Department based at our Sunderland Office, 2-3 Toward Road, SR1 2QF as part of our hybrid working week. We are fortunate to have our own stylish, peaceful and spacious offices to accommodate any and all needs of focus, team work, independent working and social gatherings throughout the week and adding home comforts to our environment is always welcomed. You will also get to know our fabulous Housing Team on site at Toward Road who are friendly and welcoming to all so you’ll feel part of the team in no time at all.

Qualifications & Training for the role….

The new Finance Assistant will work closely with and report directly to our Finance Manager* who has decades of experience in all things Finance & Administration along with a very friendly, positive, supportive and hardworking disposition. Our ideal candidate would have some experience withadministrative and Finance based duties and perhaps some knowledge of Sage accounting software as we currently use Sage Cloud. However, if you don’t have much experience then not to worry as full training will be given* and this is backed up by an ever-increasing Training database within SharePoint for you to browse and recall any time you need it. All the software packages that we use are very user friendly that you’ll pick up along the way and will become a life skill set you’ll no doubt use forever.

Hours, rate and benefits ….

The position is for 30 hours per week Monday to Thursday and hourly rates are competitive and will depend on the experience of the candidate.* The holiday entitlement is 20 days per year (pro rata)with mandatory Bank Holidays and you will be automatically enrolled within our NEST pension scheme* that both the YMCA Wearside and yourself will contribute into, with an opt out option. We’re flexible on working hours a little too; we currently work 8am to 4pm but that’s negotiable to a degree if you need to flex and bend around other commitments. Also, as mentioned earlier we do offer a hybrid office/home working practice where you can partly work from home with our provided equipment if you have the environment to do so. This becomes invaluable for not only those jobs that need some quiet time to concentrate but also can be a god send if you have a delivery to wait in for or picking the kids up from after school club. Throughout our working week, especially during home working, we use Microsoft TEAMS message chat, Video call and Outlook emails to continue to work closely together so you’re always in touch and we even do-good old-fashioned telephone calls too.

The daily duties…

Once you’re up and running within the role, there will be the following tasks to carry out which brings a good mix of different duties to encourage lots of great productive days. The main software’s used are Sage Cloud Accounting, our in-house bespoke Property Management Database AMIS and Microsoft Office 365 and we’re proud to be a fully digital department so no more time-consuming paper filing here J

• Purchase Ledger
• Enter Purchase invoices and reconcile statements each month
• E-File invoices/Statements
• Handle online Supplier Accounts and all correspondence
• Process monthly finance duties list, update where necessary
• Ensure all Utility invoices maintain 5% VAT rate
• Match delivery/receipts to PI’s
• Report on invoices due for payment in a timely manner to Finance Manager
• Account for Utility Invoices, per property:
• Request timely meter readings from all sites
• Submit all readings to various Utility Providers
• Monitor all cost period and meter readings for continuity
• Reconcile all property accounts each month
• Manage any discrepancies directly with Utility providers and online portals

• Month End financial procedures including notifying Finance Manager of Fixed Assets, Accruals and Prepayment transactions
• Council Tax
• Process all Bills received for multiple properties
• Liaise with County Councils for all queries etc
• Provide Operation System reports for Council Tax Bills to reduce costs

• Participate in annual audit process with regards all duties above
• Housing Benefit Processes
• Record receipts on AMIS System & Sage, reconcile to daily reports
• Run weekly charge reports on AMIS
• Record and report monthly on HB Overpayments
• Run and issue weekly HB balances to Operational Staff
• Liaise with Housing staff regards all matters HB
• Handle correspondence from multiple County Councils and liaise with appropriate Dept staff on such
• e-file all Notifications, Overpayments, Receipts
