About the role

Woods Bagot is a global architecture firm with studios in Australia, New Zealand, China, Hong Kong, Singapore, North America, London and Dubai. It also operates a digital consulting business called ERA Co, with presence in Australia, North America and London.

The business has local accounting and finance teams in its regional studios, supported by a central Group Finance function based in Melbourne and headed by WB’s global CFO.

This role sits within this Group Finance function and provides AP coordination of Australian and Group related vendors/suppliers with related reconciliations, coordination of AMEX processing, vendor management processes and helps drive best practice AP processes within the WB network.

Role responsibilities:

Accounts payable processing

• Coordinating supplier payment run (2 x key runs per month) for WB AUS, ERA AUS and Group Services. The business is currently considering including North American vendor payments to this process.
• Working with studio accountants to manage vendor payments in line with contracts (paid-when-paid) and project billing schedules.
• Coordination of AMEX reconciliation and payment process (monthly) – downloading statements and working with the Studio Accounts to reconcile, journalize, and submit for approval.
• Fortnightly employee expense payment runs.
• Ad hoc supplier payments.
• Assisting in vendor reconciliations for business leaders where required.
• Liaising and responding with suppliers regarding various matters as required.
• Providing support to the WB network on best practice and paperless AP processing.

Vendor management

• Maintaining vendor details within BST in accordance with WB vendor accounts policy.
• Validating vendor account details in EFTSure, a third-party software provider that assists in validating supplier account details.
• Championing a risk management culture that is understanding of the increased risks posed by cyber-crime, phishing, and fraud.

Audit

• Assist in annual audit process by assisting in AP process walk-throughs, provision of s and information as required.

Qualifications, experience and skills

The qualifications and experience required to succeed in this role:

• Previous experience in a similar role with a professional services film.
• At least 8 years accounts payable experiences.
• Degree in accounting, finance or related field.
• Experiences in assisting in broader finance functions (month end tasks).
• Intermediate to advanced excel skills.
• Experience with BST an advantage.
• Be proactive, collaborative and have problem solving skills.
• Ability to prioritize tasks & manage time effectively.
• Attention to detail with rigorous follow up.
• Willingness to learn.
• Team player but also able to works autonomously and take initiative.
• Ability to maintain confidentiality.
