Willow Animal Hospital is seeking a part-time Office Coordinator who demonstrates the willingness to work in a busy 4 doctor office in Warrenton (Vint Hill), Virginia. This is a part-time position working less than 32 hours per week. It requires the candidate to work days, evenings and weekends. It requires the candidate to demonstrate practical knowledge of a veterinary hospital, veterinary medicine terminology, veterinary hospital standard operating procedures, veterinary case management software, and exemplary customer service skills. We are seeking team players who are enthusiastic, reliable, and knowledgeable to make Willow Animal Hospital a staple in our community. We offer a competitive minimum pay rate of $ 16.00 per hour. In addition, we offer a benefits package that begins on day one working at Willow Animal Hospital. Benefits include accrual based paid time-off, uniform allowance, AFLAC, Rabies Vaccine and/or Titer on a pro-rated basis. Willow Animal Hospital is open Monday – Saturday 8a.m. to 8p.m., Saturday 8:30 a.m. – 9:30 p.m., and Sunday 8:00 a.m. – 4 p.m.

Qualifications

High School Diploma – or the equivalent (for example, GED).
US work authorization (Required to fill out I-9 Form).
Must be 18 years of age or older.
Basic computer skills.
Software: Microsoft Office Suite and Pulse Practice Management Software by Covetrus.

Primary Job Duties & Skills

• Maintain professionalism in your actions, responsibilities, and dress.
• Greet clients in a professional and friendly manner when they arrive.
• Maintain composure; even when you are frustrated or having a challenging day.
• Provide exceptional customer service by answering up to 5 telephone lines with automatic hold options in a fast-paced work environment. Clients will not be placed on hold. Therefore, you will have to effectively manage the voicemail system and return calls promptly.
• Schedule appointments, document medical records and handle financial transactions using our Pulse Practice Management Software by Covetrus.
• Accurately check clients in and out, precisely filling out forms, and processing payment transactions.
• Gather and ensure client and patient information is complete.
• Be diligent with record keeping and ability to multi-task.
• Keep clients apprised of their current and future exam visits.
• Ensure clients are seated comfortably as they wait for their schedule appointment.
• Walk clients from the waiting area to the exam room.
• Assist clients in the exam rooms as needed.
• Effectively relay admission and discharge procedures to clients.
• Assist client with pet supply purchases such as pet food, supplements, grooming items, etc.
• Handle incoming and outgoing mail and email.
• Retrieve prescriptions.
• Manage record requests between other veterinary hospitals and specialty practices.
• Participate with stocking and cleaning as needed, i.e., clean main entrance doors/windows, make sure, waiting room, reception area, exam rooms, hallways and bathrooms are clean for clients, willingness to clean up patient accidents (diarrhea, urination, vomiting) in your work area, etc.
• Perform all duties in accordance with hospital medical policies and procedures.
• Perform other duties as assigned in accordance with Willow Animal Hospital policies and guidelines.
