WellMind Behavioral Health and Wellness is seeking a Practice Manager eager to be a part of our leadership team and determine over time the proper staff to hire in the administration and clinic. WellMind specializes in depression, anxiety, ADHD and PTSD to children adults, and our veterans. Our staff of therapists and psych nurse practitioners deliver individual care, but also offer IOP and Spravato in group settings.
We are seeking an experienced practice manager who has vision, leadership and organization skills to oversee the operational functions of the clinic, financial/billing management, human resources, patient services, and compliance with healthcare regulations. The Manager will work collaboratively with the medical staff and leadership to deliver a high level of concierge service to the clinic.
Key Responsibilities:
Operational Management: Run the daily operations of the medical practice.
Ensure efficient patient flow and high standards of patient care.
Coordinate with medical professionals to ensure smooth functioning.
Financial Management: Oversee billing and insurance claims processes by working with our billing company. Monitor financial performance, prepare budgets, and manage expenditures. Ensure timely collection of payments and handle financial discrepancies.
Personnel Management: Hire, train, supervise, and evaluate administrative and support staff. Create staff schedules, ensuring adequate coverage and efficient use of resources. Address any personnel issues and mediate conflicts.
Regulatory Compliance: Ensure the practice adheres to local, state, and federal regulations. Stay updated with changes in medical laws and regulations. Ensure compliance with health and safety standards.
Quality Assurance: Develop and implement quality assurance policies and procedures.
Monitor patient feedback and address any concerns promptly.
Ensure the facility meets all accreditation standards.
Education and Experience: While the specific requirements can vary, many practice managers have a background in healthcare administration, business management, or a related field. Prior experience in mental health or healthcare settings can be advantageous.
Skills: Strong organizational, leadership, and communication skills are vital. Additionally, proficiency in IT systems, particularly electronic health record systems, is often essential.
Interpersonal Skills: Because of the sensitive nature of mental health care, practice managers should be compassionate, understanding, and able to handle potentially stressful situations with grace.
Ethical Considerations: Adhering to the highest ethical standards is crucial, especially regarding patient confidentiality and interactions with both staff and clients.
