Role:
We are seeking an experienced Administrative Assistant who thrives in an entrepreneurial and fun environment and is driven to achieve great things. You will support a rapidly growing organization by helping the Executive team maximize their efficiency.
The ideal candidate will be highly organized, super detail focused, naturally curious, as well as a self-learner with lots of initiative and energy. This is a new position in our company and we want someone who gets involved, and makes a difference. You’ll need to be dynamic, emotionally strong, and able to work with little direction.

Outcomes of this role:
Greet employees with courtesy and direct them to the appropriate people
Answer phone calls and direct them to the right people
Perform various follow-ups by phone and email
Receive, scans and distribute the mail
Assemble and prepare client files
Coordinate the sending of correspondence to clients and other stakeholders
Write, layout and correct various administrative documents
Print documentation for executive team
Provide excellent customer service at all times
Research information for executive team
Classify and file fully executed contracts and various administrative documents in a contract database
Execute various clerical tasks on the computer using ADP and Syspro
Ensure the confidentiality of the contents of the documents and forward them within the prescribed deadlines
Assist executive team in the performance of their duties and projects.
Participate in the logistical coordination of meetings, conferences in which the company participates including preparing presentations, coordinating travel and catering.
Perform any other tasks necessary for the proper functioning of the office and the meeting of its organizational objectives, including noting attendance, purchase of office supplies, answering the door, scheduling appointments, and ensuring that the offices and kitchen areas are kept clean.
Produce job costing and labor analysis
Manage expenses and prepare expense reports
Other stuff we look for:
Bachelor’s degree or DEC
3 years experience in an administrative function, working in a high pace manufacturing environment
Proficiency with MS Office suite
An energetic, highly motivated individual, strong interpersonal skills, assertive in a team environment
Excellent written and verbal communication skills in French and English
