About the Role

We are seeking our next finance all-rounder who can manage, evolve and further develop the internal finance and administrative functions for the business. The position can be full-time or part-time, depending on your level of experience and organisational skills. Experience in Buildertrend and Xero will be highly regarded, as will an accounting qualification.

This opportunity will be hands-on and strategic in nature and will involve interacting regularly with our directors, clients, suppliers, and external consultants. You will help drive projects from a financial and administrative perspective and ensure that all deliverables are completed in a timely and profitable manner.

Role Responsibilities

Accounting ­–

Accounts payable:

• Invoice matching to PO’s for job costs
• Following up on unmatched invoices
• Overhead cost invoice processing
• Creating ABA files for mid and end of month payments
• Adhoc payments throughout the month
• Maintain updated subcontractor’s insurance certificates of currency
• Maintain Masterfile’s for all Suppliers (contacts/address/bank details)
• Obtaining completions certificates for works done as needed

Accounts receivable:

• Raising Claims to customers throughout the construction process
• Raising variation invoices
• Following us on customer payments
• Other customer liaison as required

Banking –

• Bank reconciliations of bank account and credit cards
• Inter account transfers

Payroll –

• Weekly payroll and timesheets
• Subcontractors’ payments
• Monthly PAYG lodgements
• Quarterly Superannuation lodgements
• Workcover annual return completions

Reporting –

• Prepare in advance reports for mid-month and end of month payments to owner for cash flow planning
• Work in Progress report prepared monthly
• Month-end P&L compared to budget
• Monthly Forecast
• Monthly cash flow update
• Annual Budget
• Australian Bureau of Stats updates
• Other reports and analytics
• Quarterly BAS lodgement

Office Admin –

Client Relationship Management:

• Managing new and existing lead enquiries
• Scheduling meetings
• Updating client portal (Buildertrend)

Office Management:

• Order stationery/office supplies and uniforms
• Answer incoming calls where required
• Assess and document current administrative processes and policies to improve efficiency, strengthen internal controls and reduce time and costs

Required Skills & Attributes

• Australian Certificate IV Accounting & Bookkeeping or Advanced Diploma
• Experienced in Xero
• Previous experience in an administrative role
• Familiar with project management software (Buildertrend)
• Extensive experience with Microsoft Suite (Outlook, Excel and Word)

Part-time hours: 25-30 per week
