Business Firm Executive Assistant Needed ASAP

The Executive Assistant is a full-time position that s primarily to, and provides support for, the Vice President of a business and investment firm who handles various investment projects in software, real estate development, medicine, international affairs, and non-profits. The firm’s team and culture raise the bar in production, creativity, collaboration, and diversity. This position is for a highly organized individual with exceptional foresight in business, with an affinity to marketing, branding, and finance.

The core function of this role is to ensure that the Vice President’s office is well-managed and effectively supported. The Executive Assistant coordinates specific projects and activities related to communications, development, operations, and public relations. This position will support and assist in areas such as preparing memos, travel arrangements, research, meetings, and s, as well as ensuring an efficient communication flow between organizations. This person must have outstanding communication, writing, listening, organizational, and time management skills who thrives in a fast-paced work environment.

Major Responsibilities:

• Act as a liaison between the Vice President’s office and other stakeholders
• Maintain and organize confidential files (physical and electronic)
• Respond to incoming calls, emails, and requests
• Proofread typed or printed work. Ensure that all communication that comes out of the Vice President’s office is both cogent and grammatically correct
• Complete special projects as needed
• Maintain and update organizational documents and forms
• Assist with other staff members’ work overflow and respond to requests for administrative support as needed
• Manage the Vice President’s and company’s public relations, such areas as: LinkedIn, website content/maintenance, bio’s, and headshots
• Be able to provide standard IT and admin support
• Other duties as assigned

Qualifications:

• Bachelor’s Degree in Business Administration preferred
• Minimum 3 years of experience as an administrative/executive assistant preferred
• Tech-savvy (Microsoft office, iOS, Windows, Google Workspace, Adobe Suite, Asana, Slack, Zoho, and other software and apps)
• Exceptional verbal and written communications skills
• Ability to prioritize and manage multiple projects at once
• Must be able to provide quick turnaround of unanticipated requests and readily adapt to continually changing priorities
• A resourceful individual that will be able to respond quickly and positively to all manner of situations with poise
• Excellent logic, reasoning, and problem-solving skills
• Detail oriented and high level of organization
• Leadership skills
• Must have reliable transportation
• Extended work hours may be required
• Photoshop, Illustrator, XD, Front-end coding – preferred but not required

Job Type: Full-time

Pay: $55,000.00 – $65,000.00 per year
