Waddesdon Wine is the exclusive importer for Domaines Barons de Rothschild (Lafite), Baron Edmond de Rothschild, and Champagne Barons de Rothschild. We also work with the winery Baron Philippe de
Rothschild. The Rothschild wineries consist of 27 estates across four continents and produce wine in
Bordeaux, South of France, Napa, Chile, Argentina, New Zealand and South Africa. We also work closely with other high end wineries: Hundred Acre, Napa, Penfold’s premium wines including Australia’s most iconic wine Grange, and premium Sancerre producer Henri Bourgeois.

The Rothschild family have been producing some of the most sought after wine in the world since the purchase of Château Mouton in 1853 and Château Lafite in 1868.

Waddesdon Wine is a relatively small company with big ambitions. We have revenue of approximately
£14m based at Waddesdon Manor, the Rothschild country estate in Buckinghamshire, with offices both at Waddesdon and in St James’s Place. Our focus is on developing quality distribution, appropriate for our prestigious world famous wineries.

The Role

The Finance Assistance is responsible for the efficient maintenance of the cashbook, purchase and sales ledgers for all finance operations at WWL, reporting to the Management Accountant.

The post holder must ensure that the ledgers are accurate and up to date and that all transactions are correct. Payments must be processed on a regular basis (fortnightly BACS runs) and all inter- company/departmental reconciliations are up to date.

Key Responsibilities

1. Cashbook

• Logging bank transactions in the Excel cashbooks.
• Inputting transactions to Sage and allocating to purchase and sales ledger accounts.
• Reconciling the Excel cashbook to the bank statement and Sage nominal ledger.

2. Purchase Ledger

• Logging receipt of purchase invoices onto PaperLess.
• Electronically send invoices for authorisation by line managers.
• Inputting invoices into the accounts system ready for payment.
• Processing fortnightly BACS runs to pay all outstanding invoices.
• Maintaining all supplier accounts.
• Processing all credit notes.
• Processing all employee expenses.
• Checking all statements against purchase invoices received.
• Undertaking monthly inter-company reconciliation between purchase and sales ledgers.
• Managing inter-company recharges.
• Nominal ledger updates and deferred postings.
• Dealing with enquiries relating to the purchase ledger.
• Maintain WWL Accounts email Inbox.

3. Sales Ledger

• Posting and updating sales ledger accounts on Sage 200.
• Managing deposits and advance payments.
• Maintaining all client accounts on Sage 200.
• Credit control and payment chasing.
• Dealing with enquiries relating to the sales ledger.
• Liaising with Management Account and other Waddesdon departments to ensure monthly deadlines are met.

4. Working Relationships

• Work closely and collaboratively with the Management Account and other Waddesdon Wine colleagues to support the business.
• Work collaboratively with colleagues across Waddesdon
• Provide regular updates to the Management Accountant and have 1:1 meetings
• Be an ambassador for the business ensuring WWL delivers excellent customer service and administration at all times
• Work closely with any third party contractors as required

The role would suit people who have:

• Experience of book-keeping using a computer based finance system
• Strong numerical skills
• A demonstrable track record in attention to detail and accurate reporting
• Strong organisational skills with the ability to work independently and as part of a team
• The ability to build trust and credibility
• Excellent written and verbal communication skills with the ability to communicate with a diverse range of people
• Flexibility in approaching new areas of interest with enthusiasm and creativity
• AAT training is desirable but not essential
• Sage experience is desirable but not essential
• A full driving licence and regular access to a vehicle is desirable
• Knowledge of using databases and computer literate

Terms & Conditions:

Contract Type: Permanent, Full Time

Annual Salary: £25,500 per annum – dependent upon experience

Hours: Monday to Friday, 37.5 hours per week

Annual Leave: From start date, 33 days (including public holiday)

After three full years of service: 36 days (including public holidays)

After five full years of service: 38 days (including public holidays)

After ten full years of services: 40 days (including public holidays)
