Responsibilities:
Greeting and Welcoming: Welcome visitors, clients, and employees in a friendly and professional manner. Provide them with necessary information, direct them to the appropriate departments, and ensure they have a pleasant experience.
Answering Inquiries: Respond to phone calls, emails, and in-person queries promptly and professionally. Provide accurate information or route calls to the appropriate personnel when necessary.
Scheduling and Appointments: Manage the appointment calendar efficiently, scheduling meetings and appointments for clients and employees. Coordinate meeting room bookings and notify relevant parties about upcoming engagements.
Administrative Support: Assist with various administrative tasks, including data entry, filing, photocopying, and managing office supplies to maintain a well-organized front desk area.
Handling Mail and Deliveries: Receive and distribute incoming mail, packages, and deliveries promptly. Ensure proper documentation and tracking of incoming and outgoing items.
Visitor Access and Security: Monitor and control access to the premises, ensuring only authorized personnel and visitors gain entry. Follow established security procedures to maintain a safe and secure environment.
Cash Handling (if applicable): Process cash and credit card transactions for services, ensuring accuracy and accountability. Maintain records of financial transactions and handle cash securely.
Maintaining Office Appearance: Ensure the front office area is tidy, organized, and visually appealing at all times.
Requirements:
Education: High school diploma or equivalent. Additional certifications in office administration or customer service will be a plus.
Communication Skills: Excellent verbal and written communication skills. Ability to interact with individuals at all levels courteously and professionally.
Customer Service: Strong customer service orientation with a keen ability to create a positive and welcoming environment for visitors.
Organization and Multitasking: Exceptional organizational skills with the ability to manage multiple tasks efficiently and prioritize responsibilities effectively.
Computer Skills: Proficiency in using office software, including Microsoft Office Suite and email applications.
Attention to Detail: High level of accuracy and attention to detail in data entry and administrative tasks.
