Innova Law is a modern, fully virtual law firm serving clients across Saskatchewan. We provide convenient, clear, and efficient legal services in real estate, estate planning, estate administration, and corporate law.
We are looking for a reliable, professional, and well-spoken Virtual Legal Assistant / Client Intake Assistant to assist with daytime phone coverage, client communication, appointment scheduling, and administrative support.
The most important part of this role is answering calls during business hours and making sure every client or potential client receives a friendly, professional, and organized first impression of Innova Law.
Main Responsibilities
The primary responsibility will be phone and client intake support, including:
Answering incoming calls during daytime business hours
Taking clear and accurate messages
Asking basic intake questions to understand what the client needs
Scheduling appointments based on the client’s matter and availability
Passing information to the correct person for follow-up
Escalating urgent or important matters promptly
Maintaining a calm, professional, and friendly tone with clients
You May Also Assist With General Administrative Tasks, Including
Managing appointment bookings and calendar updates
Sending basic follow-up email s to clients
Organizing client information and documents
Updating client files, checklists, and internal systems
Following up with clients for missing information
Assisting with inbox organization and simple templates
Over time, the role may grow to include additional responsibilities in recruitment support and social media management.
You will not be expected to give legal advice. Your role is to gather information, assist with scheduling, support administrative workflows, and pass matters to the lawyer or legal assistant, and return clients inquiries
Ideal Candidate

Excellent at speaking and writing in English
Comfortable answering phone calls professionally
Organized, reliable, and detail-oriented
Friendly, calm, and client-service focused
Able to follow scripts and processes
Comfortable using online tools such as Gmail, Google Calendar, Google Drive, Zoom/Google Meet, and practice-management software
Able to keep client information strictly confidential
Interested in learning legal office systems and growing with the firm
Experience with law firms, real estate offices, medical/dental offices, or other professional service businesses would be considered an asset.

This is a remote position. The role requires availability during Saskatchewan daytime business hours.
