JOB PURPOSE

The Finance officer is required to complete duties, complete self- training and development. To ensure all company policies and procedures, specifically those relating to finance are adhered to.

Ensure good communication with staff and customers/suppliers to provide a high level of customer service, resolving financial queries efficiently and effectively.

Ensure sales and purchase ledger deadlines are met and the work completed is checked and accurate. Support the team work by being flexible and able to work overtime as and when required to fulfil financial demand.
The finance officer will be dependent on the needs of the business hence will be required to carry out any further tasks as deemed necessary, there is a requirement to be flexible with regards to the role activities

List of Main Tasks

• Effectively resolve customer and internal or external financial queries, ensuring a professional manner at all times.
• Enter all non-input invoices at month end onto the accruals spreadsheet, in preparation for month end cost accruals.
• Control gift vouchers, ensuring they reconcile at month end and are kept in the safe.
• Completing vouchers and entering onto SAP, following petty cash procedures and security of cash. – Log into portal & post transactions for the month.
• Check and input Logistics staff expense claim forms into SAP & paid weekly.
• Prepare staff travel advances by travel dates, following travel policy, pass to manager for approval and create payment.
• Carry out checks on Logistics monthly supplier payment proposal . Create adhoc payments for other supplier as and when through the month.
• Input Logistics bank charges, direct debits, standing orders, cheque payments from daily bank statements into SAP.
• Update Logistics payments from daily bank statements into cashflow spreadsheet.
• Run PO finance report for accruals, pass to accountant.
• Reconcile Logistics creditor’s ledger with creditors on balance sheet at month end. – month end file.
• Create and input journals into SAP and reconcile Tip Team at month end.
• Update sales analysis report spreadsheet at each month end for use by finance manager.
• Assist with internal and external audit preparation.
• Any other duties as covered by your contract of employment and to support team.
• Follow the credit control process and ensure payments are paid within agreed terms, chase up late payments and assist resolving queries with customers to avoid delays in payment.
• Opening new customer accounts and completing credit checks.
• Organise and attend monthly credit control meetings, prepare update debt reports for use in the meeting. Prepare minutes and actions in the meeting and ensure tasks are followed up and completed before the next meeting.

KNOWLEDGE AND EXPERIENCE

• Knowledge of all areas of finance (Sales, Purchases, Banking, Balance sheet, Profit and Loss and Budgeting)
• Knowledge and use of Sage accounting systems
• Knowledge of financial journals and analysis of financial costings
• Knowledge of using Internet banking systems
• Experience of working in a finance environment and working in a team
• Knowledge of basic and intermediate level of Word and Excel functions
• Knowledge of preparing and updating standard operating processes
• Knowledge of VAT preparation & returns and reconciliations
• Knowledge of sales and purchases vat
• Experience of analysing complex financial data and presenting findings
