Position Profile

Position Overview

The Accounting Specialist is responsible for the management and reporting of financial data for managed client communities. The Accounting Specialist prepares collection documents and supports the internal and external collection efforts. The Accounting Specialist reports to theDirector of Accounting and prepares financial statements, examines and analyzes accounts, and ensures compliance with financial reporting and standard accounting procedures.

Primary Duties and Responsibilities

Budgets and Financial Statements

• Set up income statement line items in accordance with adopted budgets.
• Reconcile bank accounts to general ledger accounts.
• Post journal entries to accurately report financial transactions.
• Prepare monthly financial statements.
• Familiarity with GAAP and VMG financial statement preparation policies.
• Advise Community Association Managers of financial concerns (e.g. investment of excess operating and reserve funds, low balances and unsustainable spending).

Year-End Financial Reports

• Provide financial information to independent CPA for year-end review.
• Pay and record tax payments and record CPA adjusting entries.
• Prepare and distribute IRS 1099 & 1096 forms.

Money Management

• Create and update signature cards as needed.
• Request investment proposals to ensure associations are under the FDIC limit.
• Process investment approvals as approved in board meeting minutes.
• Reconcile and verify payments to invoices substantiating business transactions.

Collections Processing

• Process bank returns as necessary.
• Correspond with attorneys and collection firms on behalf of clients.
• Prepare and distribute pre-lien notices.
• Prepare County recordings (e.g., liens, releases).
• Review and process late notices for delinquencies on a monthly schedule.
• Assess chargebacks from outside collections to owner accounts as needed.
• Administrate collections accounts and payment plans in accordance with board decisions as documented in minutes.
• Provide collection recommendations for Board consideration ahead of meetings.

Customer Service

• Answer phone calls from vendors and clients.
• Respond to emails within 24 business hours.
• Respond to voicemails within 4 business hours of receipt.
• Document all client transactions in Panel and/or Vantaca.

Other Duties and Responsibilities

• Attend and participate actively in in-house training.
• Participate in staff and departmental meetings.

Qualifications

• High School Diploma or equivalent; additional education/training or relevant experience in accounting strongly preferred.
• Post-secondary education in business administration, accounting, finance or related field are preferred.
• Must be fluent in English; Bilingual is an asset.

Technical Skills * Proficient in the use of general computer programs (e.g. Web browsers, Microsoft business suite including Outlook, Excel, Word, Teams).

• Skilled in the use of office equipment, including computer, calculator, voice and text messaging systems.
• Proficient in the use of industry software (e.g. Vantaca, banking programs).

Language Skills * Ability to read and comprehend complex instruction, correspondence, and memos.

• Ability to write complex correspondence.
• Ability to carry out instructions furnished in written or verbal form.

Working Conditions and Physical Requirements

• Work in a business-office environment.
• Work 40+ hours per week and overtime as needed and approved by supervisor.

Pay: $24.50 – $29.00 per hour
