The University Finance Office is seeking to appoint an Assistant Management Accountant to work in the Warwick Medical School (WMS) finance team. This role plays a key part in the financial management of WMS, working across the breadth of financial operations and management accounting. This is a demanding role working in a complex and growing department. You will need to have relevant prior experience and you should be Association of Accounting Technicians (AAT) qualified or part CCAB qualified with a willingness to complete your studies. You will need to bring good IT skills to the role, particularly spreadsheet skills, and you must be experienced in using accounting software. To succeed in the role you will also need to be a great communicator and able to work effectively with colleagues across the School. You will need to be able to prioritise your workload to meet deadlines whilst maintaining accuracy and good attention to detail. Whilst you will be working within a supportive team environment, you must also be able to work independently.

Job Description
To contribute to the financial management of Warwick Medical School through:
DUTIES & RESPONSIBILITIES:
1. Assist the Finance Manager and Management Accountant in the preparation and distribution of monthly management reports, in particular staff changes and non-permanent staff reports.
2. With regard to Post Graduate Teaching, check billing sheets against course attendance sheets to ensure invoicing is up-to-date and complete; reconcile fee income to the student record system.
3. With regard to Post Graduate Research, review studentships and bench fee accounts on a quarterly basis; ensure travel bursaries are accounted for correctly; monitor the MRC Doctoral Training Programme to ensure income and costs are accurately recorded and make any corrections required.
4. Reconcile GP practice payments, raise invoice requests to recover costs and prepare supporting documentation for Health Education England.
5. Support the Finance Manager to update the salary forecast monthly, i.e. add new starters, note leavers, download actuals and highlight differences and any errors identified; prepare salary journals as required, notify Payroll of coding changes and check to ensure changes have been implemented.
6. Raise invoice requests and prepare supporting documentation for the recharge of clinical staff time to our partner organisations, including NHS Trusts.
7. Assist in the preparation of staff bids ensuring compliance with University processes, including the logging and tracking of bids, uploading bids to the dedicated bid portal and working with the Human Resources team to complete recruitment and appointment details in the bid log.
8. At quarter and year end assist as required in the preparation of accruals and prepayments and the review of Warwick Medical School’s accounts, including journal corrections as necessary.
9. Assist in the preparation of Warwick Medical School’s 5 Year Plan, in particular salary forecasting.

The complexity of the work in Warwick Medical School is challenging and the post holder needs to be able to deal with this. The role requires a high level of attention to detail and good spreadsheet skills, as well as an ability to learn new systems quickly.
Precise roles may vary depending on the School’s priorities and the allocation of workload across the Finance team. You may be required to deputise for members of the WMS Finance Team as required and other responsibilities commensurate with the post’s grade as required.
