Job Description Summary
BASIC FUNCTION:
Facilitate the successful operation of continuing education programs by performing a variety of complex activities, including assisting the Director of Healthcare Workforce Development with the planning, organization, marketing and delivery of educational programs, services, and special events.
Duties and Responsibilities
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Coordinate logistics and registration functions for educational programs. Act as liaison between program vendors and registrants. Assist with program management of conferences that include out-of-town and weekend/evening venues.
Co-facilitate and co-organize vendors’ exhibits on-site and assist vendors’ representatives as well as various personnel (students, volunteers, etc.) involved with special events.
Implement internal and external marketing and publicity plans. Create brochures for educational programs and coordinate distribution of promotional materials for conferences.
Serve as staff liaison with conference planning committees; prepare agendas, take meeting minutes, schedule conference room reservations and catering, as needed.
Edit educational grant proposals to ensure correct grammar usage.
Organize and assess services in the development of continuing education programs.
Prepare and distribute monthly activities report(s).
Manage the review of contracts and agreements with educational partners in compliance with university guidelines.
Collect and report financial and attendee data; reconcile income reports.
Manage the financial transactions, vendor payments, accounts receivable, and budgets for each continuing education program, using Excel spreadsheets. Systemize detailed record keeping of financial and program data.
Arrange purchases of equipment and services related to the implementation of continuing education programs and the needs of continuing education programs.
Maintain program files in adherence with accreditation guidelines.
OTHER DUTIES AND RESPONSIBILITIES:
Assist in the planning of alumni events. Coordinate with appropriate alumni engagement staff.
Adapt technologies for electronic transmission of continuing education on-line registration, speaker management and planning committee engagement.
Represent the College of Pharmacy at key programs and events as required.
Supervise student workers and coordinate office calendar.
Perform additional duties as required.
LICENSES, TOOLS AND EQUIPMENT:
Personal computers, printers, word processing, learning management systems, database management and spreadsheet software. Microsoft Office.
Required Qualifications
REQUIRED:
1. Bachelor’s degree.
2. Minimum of three years of progressively responsible administrative experience.
3. Demonstrated experience with conference and events planning, and marketing.
4. Demonstrated fiscal management experience.
5. Demonstrated strong interpersonal and verbal communication skills.
6. Demonstrated proficiency in written communication skills.
7. Demonstrated supervisory experience.
8. Demonstrated computer skills (Excel, PowerPoint, etc.)
9. Demonstrated organizational skills.
10. Willingness to travel.
11. Demonstrated ability to work with diverse groups/populations.
Preferred Qualifications
PREFERRED:
1. Demonstrated experience in managing educational grants.
2. Demonstrated experience with adult education.
