Accounts Payable (purchase to pay)

• Log invoices received and issue for appropriate authorisation and coded payment request forms.
• Ensure purchase invoices are managed in an organised manner for timely payment.
• Ensure transactions/payments made are accurate, approved and in compliance with University and regulatory requirements.
• Process the purchase transactions including invoices, expenses/advance claims and purchase request forms.
• Monitor for incidents of non-compliance with the requirements to raise purchase orders in advance, alerting management of areas of concern.
• Run monthly checks for invoices not processed and analyse receipting activity, ensuring goods received notes (GRN) accruals and invoice processing are accurate and timely and open purchase orders are actively managed. Review supplier statements.
• Process departmental credit cards ensuring receipts are valid, appropriately coded and are authorised.
• Ensure expense claims are reviewed and travel advances are fully reconciled, on a timely basis. Monitor for non-compliance with the requirement to submit receipts and supporting documents promptly.
• Process petty cash transactions, claims and reconciliations in accordance with the University regulations.
• Respond to customer queries and provide guidance on how to process routine items.

Other Duties

• Contribute to the securing and maintenance of the Customer Service Excellence qualification for the Finance Section.
• Any other comparable duties as required.

• To contribute positively to the development of the Finance Operations team
• Engage proactively with the Estates Services finance initiatives
