Context of the Job:
The Real Estate Department is responsible for the overall
documentation, reporting, and financial aspects of the University’s
real estate activities including Newark Campus, 1743 Holdings,
LLC/STAR Campus, and all satellite locations.
Under the limited direction of the Director of Real Estate, the
Assistant Director supports the Director with leasing,
acquisitions, disposition, and database management as well as
supervising activities of the Real Estate Coordinator. This
position is responsible for processing of financial documents
including requisitions, purchase orders, cash transmittals, CAM
recording and billing, budgeting, and financial reporting.
The Assistant Director works with colleges and units across the
University, engaging with internal and as well as external
customers, stakeholders, and vendors. Duties require understanding
of real estate from both financial and transactional aspects,
independent decision making, use of professional judgment,
knowledge of best practices and University policy.
Major Responsibilities:
• Assists Director in all phases of acquisitions, dispositions, and
leasing process.
• Drafts and processes commercial occupancy documentation as both
landlord and tenant.
• Analyzes, designs, documents, and implements various integrated
systems, applications, and procedures for periodic and ad hoc
financial reporting, utilizing information from systems and
databases. Compiles and analyses financial information and develops
revenue/expense analyses, projections, and reports.
• Prepares and administers department billings including CAM for
various external customers. Ensures revenue and expenses are
accurately recorded on a timely basis.
• Reviews, reconciles, and engages landlords on CAM billings where
University is a tenant.
• Coordinates, prepares and monitors Purchase Orders for personnel
within Real Estate adhering to University budgets, business
policies and procedures.
• Serves as liaison to the University Cashier’s Office to
facilitate accurate and timely processing of incoming funds.
• Calculates rent increases and notifies appropriate parties to the
contract.
• Abstracts leases to database, upload documents, circulate for
signatures, ensure database is updated for renewals,
terminations.
• Engages with stakeholders, landlords, and occupants.
• Supervises and trains other employees.
• Performs additional job-related duties as assigned.
Qualifications:
• Bachelor’s degree with six years related experience, or an
equivalent combination of education and relevant experience.
• Real estate experience/licensure specifically documentation,
negotiations, CAM, commercial leasing and transactions.
• Experience in a higher education setting preferred.
• Knowledge of financial accounting principles, practices, and
procedures.
• Ability to query, gather data from multiple sources, compile and
analyze information.
• Ability to conduct financial analysis to identify costs, risks,
and alternatives; analyze actual revenue, funding, and expenses;
evaluate and verify information against a set of standards; work
independently with procedures or by limited direction; coordinate
and assist in budget development and preparation; and analyze
budgetary expenditures for compliance with approved budgets.
• Skill in performing complex reconciliations including CAM.
• Proficiency in Microsoft Office Excel, Access, and PowerPoint.
Ability to use advanced techniques in spreadsheet and database
management. Experience with financial and lease management software
systems.
• Excellent interpersonal skills, attention to detail,
organizational, and sound judgment in decisions.
• Excellent written and oral communication skills with ability to
engage with people of all ages and diverse backgrounds.
• Vision for improving protocols, practices, and processes for
increased efficiencies.
