Our Peri-operative Services team is looking for a Clinic Office Assistant. If you have a background in this field, as well as a passion for customer and patient experience, we want to hear from you. At UConn Health, this class is accountable for independently performing a full range of administrative tasks which includes surgical and appointment scheduling, chart preparation and registration. This position is full time located in Farmington, CT, rotating between the Surgical scheduling, Registration, OR, and Endoscopy departments as required.

SCHEDULE: This is a full time position, 40 hours per week, Monday – Friday, 8:30 a.m. to 5:00 p.m., including minor holidays. This position will rotate between the Surgical scheduling, Registration, OR, and Endoscopy departments as required. 30 unpaid meal break.
SUPERVISION RECEIVED:
Works under the general supervision of the OR Nurse Manager.
EXERCISED SUPERVISION:
May lead/supervise lower level employees as assigned.
EXAMPLES OF DUTIES:
Acts as triage/receptionist for incoming patients and telephone calls
Schedule surgical cases by entering data from surgical forms into system while ensuring efficient scheduling of cases to maximize productivity
Determines the order in which the patients are scheduled, by reviewing procedures, time needed and size operating room available and schedule patients in accordance to operating room standards/guidelines
Extracts patient demographic data and surgical information from surgical information sheet and enter in the system
Ensures coding Is correct for procedures noted
Monitors tentative schedules for missing service appointments and discrepancies in type of room and equipment assigned for specific procedures and contacts appropriate service to confirm or resolve
Reviews and resolves any procedure coding issues (needs to match with the procedure being requested! with surgeons’ offices
Works with the physician offices on issues related to schedules and faxes confirmation when issues have been resolved
Promptly communicates with surgeons’ offices regarding released space availability
Post add -on or emergency cases to scheduling system as required
Reviews wait list and schedule cases as room becomes available
Distributes schedules on a daily basis as appropriate
Adjusts room schedule in compliance with guidelines and communicates changes to surgeons’ offices and others as appropriate
Communicates the need for special instrument, supplies and equipment to nursing personnel
Coordinates with the Supply Coordinator for supply ordering
Serves as liaison to equipment Vendors for prompt delivery and pick up or equipment
Tally and reconcile daily co-pay for pick up by Police
Maintains log of co-pays broken down by cases and cash/credit
Send monthly to Patient Access and OR Administrative Director
Maintains system for a scrub access
Provide one-day access to obtain scrub as necessary
Covers UHSC operating room as necessary
Rotates to cover billing and scheduling on a regular basis
Performs other related duties as required
MINIMUM QUALIFICATIONS, KNOWLEDGE, SKILLS, ABILITIES:
Knowledge of the principles and practices of clinical office management
Knowledge of medical terminology
Considerable interpersonal skills
Oral and written communications skills
Ability to operate office equipment including computer terminals or other automated equipment
Ability to schedule and prioritize workflow
POSITION REQUIREMENTS:
EXPERIENCE AND TRAINING: General Experience:
Two (2) years of experience providing clinical office support including scheduling surgical procedures and tests.
PREFERRED EXPERIENCE/QUALIFICATIONS:
Operating room surgical scheduling experience within the last five (5) years
MINIMUM full time equivalent salary: $47,112
