JOB PURPOSE
As a member of the Donor Services team, this position provides campaign gift, pledge, payment and designations handling/processing services within United Way British Columbia’s(UWBC) Campaign Management System and other office systems. In addition, this position is responsible for effectively communicating with donors and staff and delivering a high level of customer service.
This job description covers the general roles and responsibilities and areas of the Donor Services Department. Each Data Entry Clerk will normally be primarily responsible for one Key Responsibility Area and may be required to provide back up assistance for another Key Responsibility Area and/or to other functions within the Donor Services Department: Donations Processing, E-Campaigns.
DUTIES & RESPONSIBILITIES
Works closely and effectively with the Donor Services Coordinator and other team members to provide high levels of external and internal customer service
Data Entry: Campaign donations, recording of employee donations, creating new constituent IDs and maintaining address changes and other account information as required
Creates, receives and manages electronic imports and exports from both internal and external sources
Monitors all aspects of processing for errors, investigates and corrects immediately
Responds to oral and written inquiries from internal and external sources based on knowledge of standard departmental guidelines, procedures and policies
Receives donations from Loaned Representatives, staff and public
Provides assistance with other duties within the department as required. These duties may include: follow up with donors on rejected credit card/pre-authorized chequing transactions, reviewing and coding designations received; using the CRA Charity Directory to research agencies not currently listed in UWBC’s Campaign Management System
Suggests and promotes ways to improve overall customer service
Creates and maintains all necessary documentation pertaining to Donor Services and donations processing related functions
Issues manual tax receipts as required and maintains necessary logs and documentation
Prints, mails and distributes Donor Services materials such as s, letters, statements, cheques and tax receipts to donors, companies and agencies as required
Maintains filing system as required
Perform general office duties and services as required
Provides relief to reception and to other administrative/secretarial positions within the organization as required

QUALIFICATIONS & REQUIREMENTS
Education:
High school graduation
Experience:
Two years office experience in a financial services/donations processing and/or accounting environment is required
Skills:
Ability to understand financial transactions and to review/correct/balance financial transactions.
Must exhibit high attention to task orientated detail
Ability to provide accurate data entry and/or typing skills at a moderate to high speed level
Proficient in Microsoft Office products including email and Internet, at a simple to moderately complex level and using these tools to retrieve and maintain information in a United Way application system
Ability to exercise a high level of tact and discretion in both internal and external interactions is critical
Ability to compose simple, clear, concise correspondence
Ability to suggest and promote ways to improve customer service in an appropriate manner
Ability to learn and adapt quickly to new software systems
Must be able to meet assigned objectives by adapting and modifying the sequence of work to meet changing conditions
Ability to build and maintain relationships with all staff
Knowledge of general office processes and procedures
Familiarity with the not-for-profit sector in the Lower Mainland is an asset.

Some hours outside of business hours
May require a drivers license and access to a vehicle

This is a bargaining unit role with CUPE Local 1760. This position is a pay grade 24 which is $28.11 per hour.
