JOB DESCRIPTION:

Assists the Advertising and Marketing Financial Analyst with data entry and purchase order processing and billing review and auditing as well as a wide range of tasks as needed.

JOB ROLES AND RESPONSIBILITIES:

• Purchase order processing in Oracle for In-House Departments including but not limited to Advertising & Brand, Brand Partnership, Loyalty, Social Media, Creative, Weddings and more.
• Assist analyst in creating a variety of analysis reports weekly, monthly and quarterly as needed.
• Communicate all active spending activity within departments proficiently and effectively while interacting with management, vendors and team members.
• Keep accurate records of all spending activity in accordance to internal protocols for auditing purposes and assist with all audits as required by Unique group of companies by proactively keeping records current of specific processes.
• Responsible for the timely review and auditing of third party agency billing as it relates to final media schedules including (but not limited to) verifying descriptions, dates, costs, tear sheets, commission fees and more. Reconciling and reporting any discrepancies found in the records.
• Accurately keep track of accounts payable estimates within internal workbooks and request edits/changes to partners as needed.
• Protects organization’s value by keeping information confidential
• Help department heads and managers with minor administrative tasks as needed.

COMPETENCE REQUIREMENTS:

• Excellent knowledge of Excel, Word and Outlook with excellent analytical, computational and mathematical abilities.
• Accounting and/or billing experience required
• Excellent organizational skills
• Excellent communication skills/verbal and written
• Excellent follow-up skills
• Ability to travel as needed
• Proficiency in bookkeeping programs and related software. Oracle systems a plus
• High level of integrity and trustworthiness.

EXPERIENCE:

• Associates degree (A.A.) or equivalent from a two-year college or technical school; or two years or more of related experience and/or training; or equivalent combination of education and experience.
