Overview

Bowhead is seeking an Office Assistant for its office in Pensacola, FL. The Office Assistant will be provide general office administration support.

Work is required to be completed at the Bowhead office.

Responsibilities

• Screen telephone calls and visitors, resolving routine and sometimes complex inquiries
• Operating a personal computer and MS Office suite to purchase, maintain, and inventory office supplies, handling mail requests utilizing corporate FedEx and UPS accounts and log, provide printing and contract support, conference room support
• Housekeeping of kitchen and foyers
• Responding to calls for minor facility repair; Sort and File records
• Other general administrative tasks such as filing, faxing, creating Purchase Orders, Meeting Minutes, document writing, proofreading, and copying will also be required
• The Office Assistant must be a self-starter who can work with minimal supervision, stay organized, and multitask while meeting deadlines and assisting the office
• Entering data for various technical documents, preparing routine s and needs assessments, drafting narratives and correspondences, compiling data into databases, business meeting support, assisting in the maintenance of relevant spreadsheets
• May be assigned to to additional supervisors temporarily for projects or contractual assignments

Qualifications

• A High School diploma or equivalent is required at a minimum
• An additional one to two (1-2) years of experience in a professional office assistant role is required
• Intermediate to advanced level skills in Microsoft Office software suite – Word, Excel, Outlook, PowerPoint
• Ability to communicate effectively with all levels of employees and outside contacts
• Strong interpersonal skills and good judgment with the ability to work alone or as part of a team
• Must be able to multitask and support multiple projects
• Familiarity with the JTR (Joint Travel Regulations) is desired

Physical Demands :

• Must be able to lift up to 20 pounds
• Must be able to stand and walk for prolonged amounts of time
• Must be able to twist, bend and squat periodically

CLEARANCE REQUIREMENTS : There are currently no Security Clearance requirements for this position; however, candidates must be able to successfully pass a background check.

Due to the location of this work, US Citizenship is required. Bowhead reserves the right to change this requirement if necessitated by business needs or contractual obligations.
