ABOUT THE ROLE
We are currently looking to hire a highly motivated, self-starter with exceptional customer service skills to join the Administration team (Admin Connect) as an Administrative Assistant. This 1-year temporary position provides administrative support to the Vice President of Information technology (IT) and respective team on a variety of administrative tasks.
ACCOUNTABILITIES
Accountable to partner with the VP of IT to provide proactive, accurate, organized and efficient administrative support which includes but is not limited to:
Managing information flow within IT and other departments, responding to inquiries, and providing assistance and direction in a timely manner
Support the effective time management and calendar management of the VP, IT which includes arranging meetings, venues and tracking multiple meeting requests
Tracking key commitments, maintain calendar, manage documents and ensure notification of upcoming deadlines and assist in meeting preparation
Support key HR activities including onboarding new employees or contractors and preparation of employee change documentation
Support with Travel logistics, expense reporting, team event among other administrative tasks.
Accountable to partner with Admin Connect and the IT team to provide administrative support which includes but is not limited to:
Act as the main contact for various areas within the corporation for coordination of projects, floor moves, onboarding/off boarding, procurement, and SharePoint maintenance
Preparation and distribution of memos, presentations, reports and spreadsheets using MS Word, Excel, and PowerPoint
Assisting in budgeting and financial activities within the department
Assist in the management of contractor time entry in SAP (Tracking time, Posting Goods Receipts, Journal Vouchers etc.)
Assist in a variety of procurement activities in SAP such as Purchase Requisition Creation, PO management and Accounts Payable support
Accountable for identifying and executing upon opportunities for system and process improvement to drive efficiencies
Provide administrative support on projects or initiatives as requested
Provide back-up support to other assistants within the team or as requested
QUALIFICATIONS
Diploma or Degree in Business Administration or equivalent
5+ years of customer service and/or administration experience
Required Skills
Must be proficient with Microsoft Office, SharePoint, SAP, ServiceNow
Must possess strong organization, planning & communication skills
Effectively interact & work collaboratively with team members & cross functionally
Demonstrated ability to use diplomacy, discretion, and good judgement with a professional presentation
Demonstrated capability of strong interpersonal skills
Be self-directed and proactive
