General Accountability
Provides administrative and secretarial support to the Head of Renewable Energy Programs and provides efficient and effective administrative and office support services for the Department. The role may carry out or coordinate special assignments and tasks as directed and provides guidance and direction to departmental staff regarding administrative functions, office procedures and corporate policies.
Key Job Functions
Plan and co-ordinate the daily activities/calendar for the Head of Renewable Energy Programs’ office,
Provide meeting support for various meetings for the Department.
Prepare and/or assist in the preparation of documents, presentations, and s, and distribute to the appropriate parties in accordance with established standards.
Coordinate, prepare correspondence, and/or communicate verbally with others to ensure accurate and timely communication of information; handles confidential and sensitive information on a regular basis.
Monitor, track and maintain information/data/records/files, following up, and updating as required.
Provide administrative and office support, and perform a variety of administrative duties related to assigned work.
Provide guidance, expertise and advice, and make recommendations for improvement regarding areas related to assigned work.
Act as the telecommunications and IT rep for the Department.
Liaise with Group/Department staff, other Groups/Departments, and/or external organizations concerning matters regarding assigned work.
Assist and/or prepare the department’s administrative operating budget, capital budget, other budgets and/or cost estimates as required for the department and may monitor expenditures.
Coordinate and/or provide training to staff, including arranging for training and providing guidance relative to the resolution of problems.
Maintain all employee files.
Participate and assist with special projects and activities as directed.
Act as the Parking Coordinator for the Department.

Education and Experience
Completion of a college diploma or university degree in a related discipline or combination of education, training and experience deemed to be equivalent.
Several years of progressively senior experience in an office administrative capacity.
Additional Requirements
Knowledge of business administration concepts and practices combined with a sound knowledge of modern office methods, procedures, practices and equipment.
Good knowledge of research methodology and techniques.
Proficient in the use of a personal computer and software applications and computer capacity relevant to the work (i.e. Word, Excel, Power Point, Access, SharePoint, SAP), and excellent keyboarding skills.
Must possess sound judgement; excellent organizational, interpersonal, oral and written communication skills (grammar, punctuation and spelling).
Have the ability to handle several responsibilities at once, under minimal supervision and the ability to work in a team environment.
