Summary
We are seeking an energetic Office Administrator for our downtown Vancouver office. As the face and voice of the Company, you will be an ambassador of Top Down and all our partnered Companies.
Responsibilities
Act as the first point of contact for the office; professionally greet and connect visitors (clients, consultants, vendors, etc.) to the appropriate team member
Ensure a high level of service is provided to all who enter the office
Keep the reception and front lobby area tidy and presentable at all times
Maintain daily courier schedules; book couriers
Process and distribute incoming and outgoing correspondence
Coordinate with external vendors for various purposes including office supplies, catering, printers, snacks, coffee, etc.
Assist with boardroom management including bookings, set up/ clean up, and troubleshooting with equipment
Manage access card inquiries including orders for new employees, replacements, or change requests (bike room, gym, etc.)
Ensure cleanliness of staff kitchen; load and unload dishwashers, contain catering dishes, and consolidate food items
Liaise with building management on repair or maintenance issues
Qualifications
Able to work an 8:00am – 5:00pm schedule
Someone who takes pride in their professional appearance and demeanor
Consistently reliable, punctual, and proactive
Committed to providing the highest level of customer service
3+ years of experience as the “go-to person” in a busy office
Strong knowledge of G-Suite, IT-savvy
Knowledge of office practices
Excellent communication, organization, and customer service skills
