Tartan Homes Corporation is an Ottawa new home builder that has been building new communities across Canada’s capital for over 50 years.

The Customer Service Coordinator is responsible for supporting the Service Department in the overall delivery of the customer service initiative at Tartan Homes. The Customer Service Coordinator will be the first point of contact for homeowners and will schedule various appointments related to PDI inspections. The performance of the duties must ensure a quality approach to all employees, homeowners, managers and trade partners. All responsibilities must be performed in a manner consistent with the Tartan vision and must comply with all company policies and procedures.

This is a full-time permanent position with an anticipated start date of November 21, 2022.

Responsibilities:

• Communicate with existing and future homeowners, coworkers and site staff in a kind, professional manner while remaining consistent with the customer service standards,
• Respond to, organize and document all inquiries from homeowners, management and site staff either by email or over the phone,
• Maintain homeowner files in an organized and efficient manner through electronic filing systems,
• In coordination with the site staff, prepare and distribute homeowner notifications and correspondence,
• Act as the liaison between the site staff and the homeowner, scheduling appointments and home inspection visits, and following up on meetings and inspections,
• Respond to any questions that may arise in all facets of home buying process, and escalating urgent or complex enquiries to the appropriate party,
• Provide administration support as required to the department,
• Assist and/or coordinate various projects related to the customer service experience,

• Respond promptly to customer phone calls and inquiries,
• Review and troubleshoot written lists from homeowners regarding after sales service issues,
• Issue documentation to trades and construction site staff to complete after sales service repairs,
• Issue written correspondence to homeowners and trades when required,
• Provide assistance to other departments as requested, and
• Support the Customer Service Department with other related duties as required.

Statement of Qualifications:

Knowledge, Skills and Abilities:

• High School diploma required.
• Post-secondary education in Office Administration considered an asset.
• Experience in a data entry and administrative support would be considered an asset.
• Ability to maintain confidentiality and approach situations in a diplomatic and professional manner.
• Proficiency using various programs and software is required, including, but not limited to, the Microsoft Office Suite (e.g. Excel, Word, and Outlook).
• Ability to communicate effectively in English, both verb and written.
• Bilingualism is considered an asset.
• Strong attention to detail.
• Ability to work under pressure and meet multiple priorities and deadlines.

Work Environment:

• Providing service to several people or departments, working under simultaneous deadlines.
• Sitting or standing for long periods of time at workstation.
• Manual dexterity is required.
• Busy work environment.
