Overview :

The Office Assistant role is a key player that will be involved in the day-to-day operations of the office and will contribute greatly to each client’s overall experience with our firm.

This role is vital in keeping the office organized and efficient. This role is all about communicating, not only with clients but also with co-workers.

To be successful in the position, this person must have a positive attitude and a genuine interest in helping people.

Starting Annual Salary $42,000.00

Responsibilities :

• Treat every client touchpoint as an opportunity to exceed expectations
• Develop and maintain relationships with clients and prospects
• Answer incoming phone calls
• Greet incoming clients, prospects and guests
• Assist with meeting coordination, such as assigning and preparing conference rooms
• Coordinate and order lunches for internal staff meetings
• Prepare any overnight mail and distribute incoming mail
• Assist with scheduling onsite maintenance.
• Responsible for scheduling office equipment maintenance or replacement
• Plan and coordinate employee and client gifts and swag
• Order Business Cards for new hires and replacement cards
• Assist with internal social committee coordination
• Ensure copy room, kitchen, conference rooms, office area is cleaned and stocked
• Other Projects / Duties as assigned

Requirements

• 1+ years administrative experience in a professional office environment
• Ability to work a full-time schedule Monday through Friday from 8am – 5pm
• A desire to help clients and give them a memorable client experience
• A positive attitude and willingness to collaborate as a team
• Proficiency using technology; must be able to quickly learn and effectively use various technology solutions
• Extraordinary attention to detail
