Accounts Receivable & Deductions Associate

DESCRIPTION:

The Accounts Receivable & Deductions Associate position is responsible for, but is not limited to processing remittances, recording deductions, contacting past due customers for collections via email or phone, maintaining up to date customer contact information, issuing customer statements and various other accounting duties as assigned. This work is performed across multiple clients. The Accounts Receivable & Deductions Associate must be able to effectively communicate with clients and employees while maintaining a positive working relationship when addressing problems and coming up with solutions.

QUALIFICATIONS:

• Possess excellent organizational and time-management skills to complete tasks in an efficient manner to meet strict daily, weekly, and monthly deadlines
• Minimum of a 2-year Associates degree in Business or Accounting is required
• Experience with accounts receivable & deductions entry and remittance processing
• Proficiency with Microsoft Office Suite, especially Excel
• Ability to work with multiple clients while paying strict attention to detail
• Familiarity with accounting software (such as Microsoft Dynamics GP)
• Experience with online business banking
• Must pass a criminal and credit background check and comply with all Opal policies
• Must sign the Opal Group confidentiality agreement

JOB RESPONSIBILITIES:

• Utilize Opal’s ticketing and banking systems to review all incoming AR payments and deduction remittances and sort them into corresponding client folders to be processed
• Deposit customer checks via desktop banking systems when necessary
• Process remittance transactions in accordance with Opal policies and procedures and post activity to the general ledger
• Record remittance chargebacks and deductions to the appropriate deduction type to ensure accuracy in the general ledger
• Initiate collection claims with customers on erroneous or unauthorized deductions
• Access customers’ on-line systems to assess payment status, charge backs and other items which could potentially delay payments and enter comments in the company’s Tracking system
• Initiate past due collection efforts in accordance with internal SOP’s and document customer account notes and activities in Opal’s Tracking portal
• Utilize professional email and telephone communication skills to identify customer root cause for delinquent account status, drive a solution to gain payment on outstanding invoices
• Proactively provide invoice copies and statements to clients’ customers
• Coordinate activities with other departments for approvals and address interdepartmental issues
• Ensure items are processed timely in the proper fiscal period across all clients
• Participation in regular accounting department meetings
• Other accounting duties as assigned

Compensation:

• Commensurate with requirements, experience and education
• This role would start with 40 hours (5 days) of Paid Time Off (PTO).
• 10 paid holidays

SUPERVISORY RESPONSIBILITIES: None

REPORTS TO: This position reports directly to the Accounts Receivable and Deductions Supervisor.

POSITION TYPE AND HOURS OF WORK:

• Part time, non-exempt, hourly

• The Opal Group’s business operation hours are from 8:30AM – 5:00PM.
• This role is scheduled to work 20 hours per week, Monday through Friday between the core business hours of 9:00AM – 4:00PM.

WORK ENVIRONMENT:

This job operates in a professional office environment with moderate noise level. The role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

PHYSICAL DEMANDS ACCORDING TO ADA COMPLIANCE:

• This is largely a sedentary role; however some filing is required. This would require the ability to occasionally move about inside the office to access file cabinets, office machinery, speak to coworkers, etc.
• Person will be required to bend or stand as necessary
• Must be able to remain in a stationary position 50% of the time.
• The person in this position frequently talks to clients and customers. Must be able to communicate and effectively exchange accurate information in these situations.
