Office & Front Desk Support – ProHealth Integrated Care

Position Summary: We are seeking an enthusiastic team player for a support staff position in the Agency’s ProHealth Integrated Care department. Our ideal candidate will be someone who is patient, organized, professional, and able to deliver outstanding customer service to all who enter the doors.

Duties and Responsibilities:

• Answer telephone, screen and direct calls, and take messages
• Schedule clients for clinic appointments
• Prepare and send out treatment coordination letters to clients
• Assist clients, clinicians, and medical providers with tasks/requests
• Assist with scanning documents into the Agency’s EMR
• Reschedule client appointments when staff are out sick, on PTO, or have a training
• Assist with checking clients in for their appointments
• Ensure client information is up to date and forms are signed/up to date
• Enter interpreter requests into online system
• Sort & deliver USPS mail to appropriate staff person
• Perform end-of-day office tasks before closing each day
• Support and assist with client follow up reminders
• Support research team tasks and scheduling assigned by Research Dir.
• Data entry and tracking/auditing tasks
• Other tasks/projects as assigned by ProHealth Integrated Care Dir.

Requirements:

Knowledge, Skills and Abilities:

• Knowledge of the Agency’s EMR (Avatar/Centricity) helpful but not essential
• Excellent communication skills
• Ability to work in a busy team environment
• Good interpersonal and customer service skills
• Close attention to detail
• Confidentiality a must
• Flexibility
• Ability to prioritize tasks
• Capability to remain professional in stressful situations
• Bilingual candidates are encouraged to apply

Education: High school diploma or equivalent is required.

Experience: Experience in an office setting strongly preferred. Familiarity/awareness of mental health issues a plus.
