Admin, Finance & Client Relations Officer

About The Role

You will have an essential role in the practice as you work side-by-side with the directors and Practice Manager to coordinate key business aspects, develop and deliver high-quality services to improve the wellbeing of our clients. The ideal candidate will have a warm, friendly and relaxed manner, and be dedicated to providing a professional, safe and nurturing experience for those connecting with the service.

This role will start at 1-2 days per week with potential to increase in the new year. Full time hours will be available from April 2022. The successful applicant will have the opportunity to grow with the business and develop their own role.

Duties and Responsibilities

• First point of contact for clients; answering telephone and greeting clients that attend the practice
• Reception duties including referral intake, follow-up enquiries, booking appointments, supporting directors and clinicians with general administrative tasks
• Liaise with stakeholders including referral sources, other health practices and client supports
• Management of invoices and payments, Medicare claims processing, and general administrative support for the directors and clinicians
• Maintaining clinicians appointment schedules
• Be responsive to other team member requests
• Accounts payable/receivable, book keeping, end of month report/ balancing
• Marketing; updating website, monitoring and developing social media material,
• Ensure office is running smoothly at all times
• Maintaining appearance of front office and communal areas.
• Other ad hoc administration as required

Skills and Experience Required:

• At least 3 years experience in office administration, book-keeping and accounts, ideally within a medical or allied health setting
• Experience using HALAXY and XERO accounting package (including payroll)
• Advanced computer skills and proficiency with all Microsoft office applications
• Be able to multi-task and prioritise at all times
• Excellent written and verbal communication skills consultation and conflict management skills
• Highly organised with great attention to detail
• Demonstrated ability to liaise with other agencies
• Demonstrated ability to work independently and as a member of a multidisciplinary team
• Current Criminal Record Check and Working with Children’s Check
• Marketing experience will be highly regarded
• Ability to assess and initiate things independently
• Warm, friendly and flexible attitude
• Previous experience working within a medical or allied health practice highly desirable

Part-time hours: 8-15 per week

Salary: $18.00 – $27.00 per hour
