Summary

The Climate Group are currently offering a new opportunity as a Finance Assistant to join our UK offices in London. As a Finance Assistant, you will play a very important role in assisting the Assistant Accountant and the rest of the Finance team in taking ownership of the accounts receivable function and working alongside the Finance Clerk with the processing and upkeeping of financial records. You will be responsible for a variety of tasks therefore having great organisational skills, an excellent eye for detail, good interpersonal skills and the ability to work under pressure is all paramount to this role. The role is an immediate start.

About the role

The role will be part of the Operations team, reporting to the Assistant Accountant based in the UK. The position will have a key role in providing support to the Finance team in many areas and will obtain a wide range of experience within the accounting function.

Key responsibilities: As an entrepreneurial Charity the ideal person will need to be willing to adopt a flexible approach to the role responsibilities.

Accounts Receivable function

• Managing sales invoicing to our corporate and government members (i.e. our customers) to ensure their membership fees are paid, including chasing for outstanding invoices when required.
• Working with colleagues in Fundraising and Programs teams to support the conversion of non-paying members to a payment option, and upselling current members where appropriate, as well as ensuring that our customer database and records are kept up to date.
• Performing process requirements to comply with members preferred financial technology solution or software for payment, and working with members to harmonise payment processes where possible
• Liaise with the Program teams (Business Action and Under2) to ensure that membership invoices are issued in line with company contracts and other arrangements
• Maintaining the sales income analysis schedule and supporting wider fundraising team in income forecasting.
• Recognising revenue of membership invoices in accordance with the membership period.

Other responsibilities include but not limited to;

• Assist the Finance Clerk with the upkeeping of supplier records as well as processing invoices making sure that they are paid in a timely manner.
• Reconciling receipt of funds from members to outstanding invoices.
• Support the finance team with the annual statutory audit, taking responsibility for providing information and answering auditors queries for agreed areas
• Updating and maintaining data records in accordance with the organisations policies.
• Keep Salesforce updated with member payment tracking information, and work with finance team to ensure invoices are posted correctly in the accounting system, and account reconciliations are completed
• Build strong relationships with other teams and be a trusted point of contact for areas of responsibility including responding to ad-hoc queries and information requests
• Assist in the ongoing review of finance processes and procedures and ensuring policies are adhered to.
• Collaborate with colleagues in fundraising, IT and finance to continually improve Climate Group billing systems and processes
• Assist in the planning and implementation of a new member invoicing cycle. Moving from an annual cycle to a more sustainable rolling monthly cycle.
• Manage the quarterly invoicing and payments to our regional recruitment partners.
• Other ad hoc duties as required

About you

Dedicated to and supports the Climate Groups values, objectives, and purpose.

Essential:

• A university graduate, ideally with a finance or numerical related degree or working towards an AAT or similar qualification
• Highly numerate, with understanding of basic finance and payment processes
• The ability to manage time, prioritise tasks and work under tight deadlines
• Strong communication skills, both verbal and written
• A proven strength in building great relationships and working with a broad range of finance/non finance individuals at all levels

Desirable:

• Experience working within a Finance Department or similar industry background
• Experience of Charity Grant Accounting/Charity SORP (FRS102).
• Experience working with US/EU/Indian/China organisations and respective taxes and regulations
• Working in a multi-currency accounting environment
• Experience working with Salesforce or FinancialForce
• Understanding of general accounting functions such as accounts receivables and payables.

Location

You will be employed at our London headquarters. As we are currently in the process of moving to a new permanent London location (Zone 1), our staff are utilising the use of our temporary office near Borough. From October 2021, we have adopted a phased flexible blended approach of working 2 days in the office and 3 days working from home. Once we move to a permanent office (Q1 of 2022) this will be 3 days in the office and 2 days working from home.

Infrequent national/international travel may be required.

Terms & Conditions

This is a permanent contract. The salary for this position will be £25,600 to £28,800 per annum based on experience.
