Technology Aspect: To establish a clear duty of care, Texas Virtual Schools and its affiliates requires all employees to cover the costs associated with acquiring and providing the equipment (i.e., computers, internet service, telephone, home office setup, etc.) associated with virtual employment.

Position Overview

The Registrar will manage all aspects of student records, including registration, transcripts, and graduation requirements. The ideal candidate will have a strong understanding of academic policies and procedures, excellent communication and customer service skills, and the ability to work independently and collaboratively as part of a team.

Essential Position Functions

• Assist with the registration process as it pertains to obtaining student records;
• Maintain and update Academic Achievement Records/cumulative records through data entry for students as directed by the academics team/counselors;
• Prepare an accurate list of graduates for verification along with archiving grades and transcripts;
• Coordinate and process the transfer and withdrawal of students (including the Texas Records Exchange process(TREX);
• Produce and send transcripts, upon request, to pertinent and appropriate parties;
• Produce and send Verification of Enrollment (VOE), upon request, to pertinent and appropriate parties; collect and input PEIMS data in areas of demographics, leavers, and course completions;
• Request student records from sending school and disseminate to appropriate personnel (including the Texas Records Exchange process);
• Release TXVS communications regarding student records and record retention when appropriate to inform families, and on behalf of TXVS and/or partner districts;
• Perform other job-related duties as assigned.

Required Skills, Knowledge, and Abilities

• Knowledge of record maintenance; district policies and procedures, state regulations concerning enrollment, and credit requirements;
• Patience when handling student, parent, and community questions and concerns;
• Strong organization, communication, and interpersonal skills; must possess a strong work ethic; excellent written and verbal skills;
• Proven proficiency in MS Excel, and MS Word;
• Willingness to become proficient in “newer” technologies such as Zoom, Google Workspace, and Google Sheets.

Education & Certification Requirements

• A minimum of a High School Diploma or equivalent with at least three (3) years of clerical or secretarial experience.
