Position Summary

The Graduation Coordinator is responsible for supporting the Events Management team by coordinating and managing graduation ceremonies in all seven TSTC regions, as well as other statewide TSTC events as needed. The successful candidate will have strong communication skills, the ability to handle multiple priorities in a fast paced environment, and the ability to develop and implement process improvements. This position partners with various TSTC departments in the planning and coordination of the commencement ceremonies and oversees the budgets to provide a signature event for the university within budget. The position will be required to work independently and under strict deadlines, exercising good judgment in recognizing scope of authority and care in administrative detail.

Essential Functions

• Employee will demonstrate TSTC Core values of Excellence, Accountability, Service and Integrity with internal and external stakeholders, customers, students and members of the community.
• Practice professionalism and confidentiality when assisting various statewide teams.
• Communicate orally and written with departments to enhance internal relationships.
• Negotiate and execute vendor contracts as necessary for catering, facility rental, equipment rental and decorations.
• Support all graduation ceremony logistics including but not limited to set-up, on-site management, execution and clean up.
• Supervise volunteer staff before and during graduation ceremonies.
• Perform related work as assigned by supervisor including but not limited to other statewide event support.
• Other duties as assigned.

Minimum Requirements

Education

Associates degree required.

Experience Required

– Customer service experience

– Event/meeting planning or administrative/clerical experience

– Cross-functional communication experience

Additional Experience Preferred

– 2-4 years of customer service experience

– Experience working in higher education

– Volunteer management experience

Knowledge/Skills/Abilities

Required:

– Spreadsheet creation and maintenance (Google Sheets preferred)

– Knowledge of vendor selection processes

– Excellent written and verbal communication skills

– Valid driver’s license

– Ability to work non-traditional hours when necessary

– Ability to travel to graduation ceremonies within Texas

Preferred:

– Knowledge of state purchasing and procurement procedures

– Contract negotiation and execution

– Ability to understand and explain complex concepts to others in a clear manner

This will be a hybrid position (some remote/some on site), and can be based near any one of our 10 campuses.
