Group Logistics Coordinator

The Group Logistics Coordinator is responsible for providing logistical support to groups, including reservation scheduling, contracts, payments, pre-visit communication, occasional onsite assistance, and assistance in all other areas regarding group sales when needed.
Primary Duties and Responsibilities
1.Establish and service group reservations in various market segments, including field trips, sporting events, corporate groups, scout groups, church groups, camps tour operators, and other group segments.
2.Process and maintain accurate records for each group visit, including contracts, payments, refunds, complimentary admission programs, changes in attendance, and other necessary reservation components.
3.Provide excellent written and verbal communication, including responding to client needs, proactively communicating pre-visit policies and procedures, addressing complaints and client issues, and providing excellent service recovery when needed.
4.Work collaboratively with group sales coordinator and communications specialist to concierge all group sales clients. Assist in creating and maintaining written protocols for new processes and programs relating to groups.
5.Work collaboratively with education, admissions, visitor services, and other cross-functional departments to ensure accurate and timely information sharing regarding group visits.
6.Able to use multiple software programs and input comprehensive information efficiently with strong attention to detail.
7.Maintain extensive knowledge of Aquarium offerings, including education programs, behind-the-scenes tours, special events, overnights, hotel partnerships, memberships, and Chattanooga-area attractions to complement the group’s visit to Chattanooga.
8.Support Membership/Sales/Events teams as needed with internal/external events, promotions, and other opportunities for collaboration.

Key Requirements
- High-level verbal and written communication and interpersonal skills
- Ability to work with various databases and computer applications
- Excellent customer service experience
- Customer-oriented; works well within a team environment
- Organizational skills with strong attention to detail
- Strong multi-tasking ability and time management skills
- Ability to deal with various challenges and remain composed under pressure
- Bachelor’s degree preferred
- Minimum of two years of customer service experience
- Experience with database/CRM software
Full-time, hourly (40 hours/week); some weekends and after-hours work required.
