JOB SCOPE AND RESPONSIBILITIES
Reporting in to the Senior Manager, HR the HR Assistant will be responsible for delivering administrative HR support throughout the full employee life-cycle.
Talent Acquisition
Support recruitment to hire candidates to fill vacancies within targeted cycle time.
Support with shortlisting candidates and coordination of recruitment meetings and assessment centres
Manage immigration, background checks, reference checks, medical physical and alcohol screenings
Ensure compliance with regulatory requirements related to tracking of applicant data
Conduct Aptitude/Skill Testing
Create contracts and written offers of employment
Create job adverts and manage job posts
Talent Management
Conduct new hire inductions to ensure a positive employee onboarding into the Company
Conduct exit interviews with leavers to acquire data to support improvement in employee experience and aid retention
Ensure adherence to probation process
Support team with reporting/tracking of data related to individual performance and/or performance management processes
Employee Engagement
Support coordination of engagement action plans, tracking of data/actions etc.
Active participation in the Culture Committee and provide support for other employee engagement initiatives
Post employee communications via site tools, such as TV screens
Coordinate submission of HR-related stories for regular newsletters and line managers cascade
Coordinate approval and posting of social media communications
Coordinate the monthly recognition awards scheme
Update intranet and internet content as needed
Provide basic guidance and support to employees and managers on the application of HR policies
Reward, HRIS, HR Operations
Check accuracy of SAP reports and other personal data on HR systems, taking action to correct any errors
Enter a new employee into the ERP system and execute all other data updates (e.g., change requests) to HRIS and other HR systems to ensure data integrity with any business changes
Execute HRIS-related activity for employee termination, new employee onboarding, etc.
Generate basic employee reports (headcount, demographics)
Manage personnel files in an efficient and confidential way
Gather data in response to DSARs
Ensure compliance with legal, statutory and company policies and procedures of HR-related processes and programs.
Provide HRIS reports as required including follow up with relevant Stakeholders, for example Absence and probationary period follow up.
Support organisation development efforts through preparation of formal letters/notices, coordinating timetables/meetings etc. and other written communications
Learning & Development
Manage learning course nominations
Support data management & reporting for L&D programmes
Use the LMS to upload L&D content and assign to trainees
Coordinate training events and prepare course materials
Other
Assist with the coordination of special projects and events, as needed
Participate in community affairs activity, as needed
Performs other duties as required
KNOWLEDGE/SKILLS
High skill level in Microsoft Office Suite (PPT, Excel, Word)
Ability to speak with a high level of professionalism and presence to individuals or groups
Ability to analyze information and interpret into recommendations for consideration
Ability to understand the business and how HR activity can support business and employee needs
Persistence to drive to solutions despite obstacles and/or competing priorities
High degree of personal integrity in all business dealings
Attentive to detail and demonstrated ability to deliver on accountabilities in order to help the business and the team be successful
General awareness, exposure, and understanding across most HR sub-disciplines
A great team player with a great attitude, good customer service orientation, and focused on delivering outstanding results to their clients and the business, overall
ESSENTIAL WORK EXPERIENCES
Demonstrated administrative experience within a fast paced environment
Some experience in a Human Resources function, in a junior role (Assistant, or equivalent)
Experience in working with an HRIS database
ESSENTIAL EDUCATION REQUIREMENTS
Bachelor’s degree in HR or related discipline from accredited university OR
High level of achievement at A-Level or equivalent via Apprenticeship or other formal vocational education/training programme
