DLM, Division of Systems, LLC, a leader in the design and manufacture of loading dock equipment, has a rare opportunity for an administrative assistant at our Malvern facility. This position is the “face” of the company by creating a welcoming atmosphere in the lobby and answering all incoming telephone calls in a professional and helpful way.

Main Job Responsibilities

• Assists all visitors and guests upon arrival in lobby, including salespeople and job applicants
• Assists job applicants in filling out the job application correctly and completely
• Assists Human Resources with filing, phone calls, copies, scanning and all other duties as assigned
• Maintains data entry in Microsoft Access database of daily production by station
• Distributes incoming faxes to appropriate departments
• Picks up mail at post office
• Opens, stamps, and distributes mail to the appropriate departments
• Manages telephone switchboard and route calls to the correct department/person.
• Manages switchboard and assist callers if they are not willing to hold or go to voice mail
• Stamps outgoing mail
• Uses basic computer software such as spreadsheets, databases, word processing applications, email, Internet, etc.
• Customer Service experience.
• Works as contributing team member and performs other duties as assigned in a fast-paced setting.

Qualifications

• Associate degree preferred, High school diploma or equivalent required.
• At least one year of related experience.
• Proficient computer skills- i.e., Microsoft Office, etc;
• Highly organized with strong attention to accuracy and detail
• Effective oral & written communication skills
• Self-motivated; Ability to work independently and in a team environment
• Sense of urgency; Ability to work in time sensitive and fast-paced environment
