Position Overview:

This role will be responsible for providing an accurate and efficient HR data entry and administration service with respect to all aspects of the employee lifecycle, including changes to personal details, changes to terms and conditions and the processing of leaver documentation.

The role will also be responsible for supporting the iTrent HR system and ensuring that the quality of the data is maintained, as well as being the first point of contact for any HR queries from the business and the wider HR team.

Responsibilities:

• Be an ‘ambassador’ for the new HR service and ‘champion’ self service
• Undertake data entry for HR transactions relating to employee lifecycle (post recruitment), including changes to personal details, processing changes to terms and conditions and leaver documentation
• Drafting and issuing of terms and conditions letters and contracts of employment
• Undertake administrative support in the delivery of HR calendar events (e.g. pay review)
• Undertake administrative support to the HR team for bulk employee communications, HR change projects etc.
• Ensure all personnel records are maintained and secure, complying with obligations under GDPR
• Supporting the team with administrative tasks including printing, filing and processing of HR Invoices
• Provide timely support and guidance and be the first point of contact for all colleagues on HR related queries
• Assist in the production of standard HR letters (relating to ER Case Management)
• To input to HR projects where required
• Identifying process improvements

Knowledge skills & experience:

Essential:

• Oral communication – Speaks clearly and fluently
• Written communication – Writes in a clear and concise manner, using appropriate grammar, style and language for the reader
• Previous HR Administration experience and a basic understanding of HR policy and procedures
• HR systems experience
• Good attention to detail and accuracy
• Excellent customer service focus
• Sufficient and appropriate experience of telephone-based work and query handling
• Well organised, with ability to work to tight deadlines
• Strong team player but also able to work on own initiative
• Cooperative and willing to assist others
• Strong understanding and respect for confidentiality
• Ability to use Microsoft Office applications

Desirable:

• Experience in using the i-Trent HR system
• Experience in working within a HR Shared Service team
