SPIN Hiring for Staffing Coordinator / Scheduler Full Time

The Accountabilities of a Supervisor in Deployment Services:

• Deploys qualified staff to the Residential sites and Community Participation locations to maintain continuity of care and support and to ensure the safety and well-being of the SPIN consumers.
• Coaches union staff on policy and procedure at point of service.
• Organizes special and specific trainings so as to increase the availability and portability of support staff for more challenging and involved homes while achieving high productivity through strategic deployment.
• Accurately manages an automated scheduling database (ADP Workforce Now eTIME) entering and managing schedules (Excel- Microsoft TEAMS), tracking and managing overtime, monitoring leave time balances, and utilizing appropriate pay codes for interdepartmental communication.
• Processes all staff leave requests via the SPIN Time Off Request and email databases in accordance with SPIN leave time policies and procedures and the Union Agreement.
• Seeks to use resources and create solutions to decrease the amount of the Organization’s overtime and reduce vacancies in the Residential homes.
• Supervises a pool of Residential Philadelphia External Substitute staff including, but not limited to: monitoring needs for additional supports or trainings; ensuring compliance with annual trainings, physicals, PPDs; MAR Review class, setting up medication observations with the assistance of the Residential Assisting Directors; etc.
• Generates departmental s.
• On-call responsibilities weekly, during holidays and evenings as needed.
• Constantly communicates with co-workers, Residential and Community Participation Services Assisting Directors and Directors, and Organizational Staff, as well as principle contact departments.
• Assists the Director in achievement of departmental and organizational goals and outcomes.

The tools you need:

• Bachelor’s Degree preferred(Business or a related field)
• 2+ years of supervisor/management experience
• Valid Driver’s license, own vehicle and insurance.
• Proficient with MS Office Excel and Word, and Office 365

Expectations

• Skilled at providing optimum customer service and maintaining a professional positive attitude when faced with challenging situations
• Accustomed to heavy phone usage (outbound calls)
• Effectively manage high volume of internal emails, including follow-up
• Ability to work independently as well as part of a team, communicating in an open and professional manner at all times
• Understands the urgency of work in the Deployment Services department and is skilled at prioritizing in emergent situations
• Excellent written and verbal communication skills within and between departments
• Flexible and easily adapts to change
• Critically manages time
• Must be organized and be able to multi-task
