OFFICE ADMINISTRATOR:

Performs administrative and data entry support to various departments. Performs

general accounts payable and accounts receivable duties. Demonstrates Spartan’s

Core Operating Values through work activities, actions and behaviors.

PRINCIPAL DUTIES AND RESPONSIBILITIES – ESSENTIAL FUNCTIONS

Provides data entry and administrative support, including answering incoming plant calls.

Performs accounts payable and accounts receivable duties, including:

Reviews, codes and enters vendor invoices into the accounts payable system.
Reviews statements to ensure all invoices have been entered.
Matches purchase orders/receivers to invoices to verify pricing and quantities.
Reviews, codes and processes expense s, ensuring proper documentation and authorization.
Verifies payments by reconciling invoices and statements.
Researches and responds to account payable-related requests and questions from vendors.
Assists the Accounts Receivable Specialist with the invoicing activities for shipments and returns. Activities could include printing and reviewing bill of ladings to ensure correct pricing; reviewing, updating and mailing invoices; and processing returns and entering credits in the invoicing system
Performs back-up duties to Customer Service and Purchasing. Cross train with Customer Service Representative and the Supply Chain Coordinator to perform their duties when they are out of the office.
Contributes to and supports the existence of a positive work environment through personal involvement by communicating, interacting and behaving in a manner that promotes productive relationships with coworkers, supervisors, customers, vendors, and others with whom such relationships are important to the success of company operations.
Performs other duties as assigned.

Required:

High School Diploma

Minimum 1 – 2 years of general office and date entry experience

Preferred:

Associates Degree

Accounting experience
