Job Title: Registrar

Overview, Essential Duties and Responsibilities:

The Registrar serves as a leader to assist students, staff, and faculty with a variety of academic services and is responsible for maintaining and contributing to the integrity, confidentiality, and security of all student records while ensuring compliance and adherence with all state, federal, and regulatory agencies. The position will be accountable to optimize the daily operations of the Office of the Registrar by effectively providing oversight for the maintenance and integrity of all academic records. The Registrar will be expected to continuously improve functionality in the Office of the Registrar to meet strategic needs by monitoring reconciliation of attendance, grade recording, registration, degree audits, student status changes, etc. within the student information system (SIS).

Duties and Responsibilities:

• Provide leadership and manage all aspects of the Office of the Registrar department
• Accountable for data collection and analysis of generated reports for decision making to develop and modify policies and procedures in accordance with state, federal, and privacy laws (FERPA)
• Ability to handle high pressure situations and function in a changing and often busy environment to meet operational goals or organizational requirements
• Assist with the development and documentation of standard operating procedures and system processes
• Demonstrate clear understanding of academic program requirements to formulate, interpret, and enforce academic policies and procedures within specified workflows
• Coordinate updates and modifications to the student information system(s) and assist with the implementation of new academic programs including user acceptance testing
• Establish and secure educational partnerships and articulation agreements with transfer institutions
• Determine appropriate staffing levels to support internal service level commitments (SCLs) and achieve departmental and institutional goals
• Coordinate with Faculty Services to establish best practices of efficient section building, course scheduling and monitor course seat availability
• Assist in determining students’ graduation eligibility and monitor the coordination of student eligibility for honor societies
• Monitor the conferral of degrees/certificates, compile, and oversee the distribution of graduation packages and official transcripts
• Participate in leadership meetings and prepare budgets to appropriately support division/department functions and goals
• Collaborate with leadership teams and effectively manage working relationships with external vendors
• Participate in professional development opportunities and identify training opportunities for the team
• Contributes to the overall success of the Institute by performing all other duties as assigned

Education and/or Work Experience Requirements:

• A minimum of a Bachelor’s degree is required
• Minimum of 3-5 years in a Registrar role or related profession within higher education preferred
• Minimum of 3-5 years experience in leading or managing successful teams
• Travel Requirements (10%)

Skills/Qualifications:

• Comprehensive understanding and experience with Student Information Systems (SIS) (Preferably Anthology/CampusVue/CampusNexus), Learning Management Systems (LMS) and online classrooms (preferably Canvas), and partnered vendor services
• Computer skills with the ability to work with various software and systems
• Strong written, oral, and interpersonal communication skills
• Excellent research and analytical skills with strong conflict resolution skills
• Superior organizational skills with the ability to manage and deliver on competing priorities
• Demonstrated ability to engage in critical thinking and exercise independent judgment
