Established in 1978, Somerset West Community Health Centre (SWCHC) is a non-profit, community-governed organization that serves over 16,000 clients annually. We combine primary health care services with a wide range of other health promotion and community development services, with a focus on improving the social determinants of health. We do this by removing barriers to accessing services for people who are vulnerable because of their age, income, ability, sexual orientation or gender identity, and language or culture.

POSITION DESCRIPTION:
As the first point of contact with the Centre, the central responsibilities of the main receptionist are to greet clients, visitors and staff both in person and on the telephone in a friendly, welcoming manner and to help them find what they need. To ensure that all visitors to the centre feel welcomed and that we maintain low barrier access for our vulnerable clients and community members. To supply information regarding SWCHC and our services to the general public, clients and visitors as requested.
POSITION RESPONSIBILITIES:
Participates in Team or Centre Activities:
Attends team and staff meetings as required.
Participates in team and Centre committees and special events as required.
Contributes to the development and implementation of the Centres policies and procedures and the Centre’s strategic plan.
Maintains up-to-date professional skills.
Complies with all mandated legal/regulatory requirements related to working in the Centre, e.g. occupational health & safety, standards of professional conduct, etc.
Main Reception:
Greets clients and visitors to the Centre in a friendly and welcoming manner.
Answer incoming telephone call and direct those calls in a prompt, professional and courteous manner.
At the request of managers or directors, or Maintenance Superintendent pages staff on the overhead paging system
Monitor reception area and main lobby supporting clients and guests to follow Centre rules and code of conduct and provide feedback and redirection when needed
Reaches out to Harm Reduction Staff in the event of a client escalation using best practices including de-escalation
Initiate safety and emergency response protocols (panic button, lockdown etc.)
Contacts 911 when appropriate letting senior staff know this has been done
Ensure staff and client safety by following established emergency response systems.
Respond to inquiries in a helpful manner, requesting help from staff as necessary.
Ensures visitors, students and volunteers are signed in and given identification badges.
Oversee visitor parking registration and enforcement with maintenance personnel.
Room Booking, Van and Security:
Prepare daily room booking schedule for posting before 9 am daily in various locations throughout the Centre.
Maintain and monitor van log
Ensure that the security guard equipment is secure each evening
Ensure that the van pouch is also secure
Maintain security of master key and any other sensitive items
General Administrative Support:
Sorts and date stamps incoming mail and distributes to departmental mailboxes
Processes outgoing mail and maintain postage meter
Receives parcels and courier deliveries and notify appropriate staff.
Arrange courier and priority mail as requested.
Update staff directory as required.
Data Entry.
Tracks and records deposits in software.
General administrative duties as may be assigned.
POSITION REQUIREMENTS:
Knowledge:
Telephone operating systems
Microsoft Office systems and keyboarding skills
Competencies:
Excellent verbal and written communication skills
Excellent reliability and punctuality
Solid professional personal presentation including ability to create a positive, warm and welcoming environment for clients
Ability to use a client service focused approach emphasizing empathy and acceptance
Competent information management skills
Organizing and planning abilities including working in a busy and active lobby environment where you are constantly in the public eye
Problem solving skills and the ability to prioritize between multiple responsibilities
Good attention to detail
Experience working with marginalized groups in grassroots, community-based settings such as drop-ins
An understanding of mental health issues, substance use, and the impacts of experiences such as colonization, violence and trauma on marginalized groups
Education/Training/Experience:
High school diploma or equivalent
3-5 years experience in related job
Language(s):
English and French – verbal and written are required
Other Language(s) are an asset
General Employee Responsibilities
Contributes to the Centre’s activities to collect, analyse and report on data and relevant information and participate in research,
Preserves confidentiality of all client and employee information and seeks to minimize risk while working with data,
Submits records of time worked and time off in a timely manner,
Maintains and develops professional competence, and where applicable, a professional licence to practice, through appropriate continuing education methods (e.g. peer interaction, literature review, conferences, courses, staff development leave, etc.),
Complies and adheres to all applicable Centre policies and procedures,
Organizational Responsibilities

Supports the Centre’s student placement programs
Contributes to the Centre’s work by participation in activities that seek to strengthen collaborative and interdisciplinary teamwork, such as intercomponent committees and working groups, strategic planning and accreditation.
Contributes to the Centre’s practices of hiring, orienting and training of employees
Participates actively in team meetings
Consults with and provides support to team members and other SWCHC employees regarding professional issues
Participates in the Centre’s strategic planning process
Participates in the development of policies and procedures by providing feedback in the Centre’s policy development process
Works in a manner that incorporates health promotion and recognizes the determinants of health
Participates in team and individual professional development opportunities
Occupational Health and Safety
The incumbent must also work within the scope of all legislative and Centre policies related to occupational health and safety. In this capacity, the employee:
Must read and follow the Centre’s occupational health and safety policies.
Must have an OH&S Review at the beginning of their employment.
Must participate in any mandatory training the Centre provides including Worker or Supervisor Safety Awareness Training and WHMIS Training.
Must complete the AODA training
Must participate in Non Violence Crisis Intervention Training
