Job Title: Accounting Specialist
Department: Fiscal
Reports to: Director of Finance
Status: Non-exempt, Full-Time
Position Summary:
Reporting to the Director of Finance, and working under limited supervision, the Accounting Specialist is responsible for the accounts receivable functions, and provides back up to accounts payable and payroll. The Accounting Specialist works closely and collaboratively with fiscal, development, and program staff to ensure sound financial management of grant and contract awards, and compliance with funding source guidelines. Supports accounting functions for an agency with an annual budget of $6M, with over 30 complex federal, state and local contracts.
Essential Functions
Accounts Receivable/Grants Administration:
· Prepare all monthly/quarterly grant and contract invoices and financial/compliance reports.
· Ensure timely submission and collection of receivables.
· Work alongside Contract Compliance Coordinator to monitor individual grants, contracts, and related transactions for compliance with applicable funder guidelines and regulations, including matching fund requirements.
· Assist program staff with sub-recipient monitoring, including review of contracts, amendments, and invoices.
General Financial Tasks:
· Assist with expense allocations and the monthly close process, including adjusting journal entries and balance sheet reconciliations.
· Participate in the development and improvement of internal controls, fiscal policies and procedures.
· Support the annual budget process and financial audit.
· Back up payroll processing and accounts payable functions.
Required Qualifications, Knowledge, and Abilities:
· Bachelor’s degree and at least two (2) years of accounting experience. An equivalent combination of relevant education and/or experience will be considered.
· Working knowledge of fund accounting and GAAP.
· Skilled in presenting financial information (orally and in writing) in an understandable manner to fiscal and non-fiscal audiences.
· Proven capacity to function collaboratively with staff and community partners outside of the fiscal department. This includes work with individuals with diverse backgrounds, skill sets and communication styles.
· Ability to interpret, implement, and communicate the complex laws, regulations, and policies of diverse funding sources.
· Strong analytical and reconciliation skills.
· Exceptional verbal, written, and interpersonal communication skills.
· Self-starter with high dependability and keen attention to detail.
· Ability to juggle competing priorities, adapt to organizational needs, and remain highly organized in a dynamic, team-orientated work environment.
· Ability to run essential functions of the fiscal department in absence of CFO.
Preferred Qualifications, Knowledge, and Abilities:
· Knowledge and experience of Accufund v6.0
· Educational emphasis in accounting or business
· Government or non-profit accounting experience
· Knowledge of contract administration methods and procedures
Physical, Environmental and Mental Requirements:
· Physical: Frequently required to perform moderately difficult manipulative tasks such as typing, writing, filing, etc.
· Must be able sit for extended periods.
· Sensory: Frequently required to read documents and written reports.
· Must be able to speak clearly and understand/be understood using the English language.
· Cognitive: Frequently required to concentrate on moderate detail with frequent interruption. Must be able to attend to a task/function for 20-45 minutes at a time. Frequently required to understand and relate to specific ideas, several at a time.
· Environmental Conditions: Frequent exposure to varied office and mixed (residential/office) environments. Occasional exposure to outdoors.
· Equipment: Frequently required to use a computer, phone, and copy machine.
