The Clinic/Medical Assistant is responsible for the front desk reception, management of the clinic front desk & clinical day. This position will be responsible for the data entered into the computer system, insurance information gathered and authorized and monies collected are done so in a timely and accurate fashion. The MA is responsible for ensuring that the charts are prepped, tasks are worked and all appointments are called and scheduled daily. Obtaining authorizations for DME, addressing referrals and scanning of charts are completed prior to treatment. The staff must do his/her position while remembering Customer Service and professionalism are key components and the CA may be the “face” of his/her division.

Candidates should have the following qualifications:

• Graduated from an accredited Medical Assisting program and/or have achieved National Certification PREFERRED
• BLS/CPR certification REQUIRED
• 1-2 years previous experience with an electronic health record PREFERRED
• Worked one or more years in a private medical office or hospital setting PREFERRED

Listed below are some of the duties and responsibilities for the CA/MA:

Clinic Assistant

• Knowledge of processing medical records requests (General)
• Demonstrates organizational skills
• Understands and is knowledgeable of required patient forms (consent for treatment, etc…)
• Compiles New Patient Forms Appropriately
• Has Read & Understands Consent for Treatment & Can Explain to Patients
• Can process incoming/outgoing referrals and obtain proper authorizations
• Understands & demonstrates proficiency in scanning charts and medical documentation into charts
• Understands & demonstrates proficiency in viewing patient data, diagnosis codes, documentation of notes
• Understands & demonstrates proficiency in collecting proper documentation, accurately task & respond to tasking
• Understands & demonstrates proficiency in scheduling appointments & its process, & creating ailments.
• Understands & demonstrates proficiency in collection of monies, receipt documentation, daily deposits & charge posting
• Understands & demonstrates proficiency in printing encounter forms & reconciling missing encounter forms
• Demonstrates Insurance Knowledge of Third Party Payors
• Demonstrates Insurance Knowledge of Insurance Cards
• Demonstrates Insurance: Enters data correctly and chooses correct insurance
• Demonstrates Insurance: Verifies & obtains authorizations for all plans

Medical Assistant

• Review charts to ensure that all appropriate documentation is present. Ensure copies of s, diagnostic test results, etc… are available in the chart if needed.
• Room patients; obtain full set of accurate vital signs and document in chart or EHR. (Obtain vital signs such as height, weight and temperature; past medical history (or changes) and review meds/document meds from outside sources)
• Call in medication refills after prior approval from the physician.
• Pull all new diagnostic and lab results daily and gives to physician for review.
• Assist/perform all necessary patient procedures for which you are qualified. May perform mask fittings when needed.
• Triage and screen telephone calls and retrieve voice mail messages promptly; inform physician of all patient communications after pulling patient chart. All communications are to be documented in patient chart / EMR.
• Print daily schedules for physician or provider; notify them of changes in schedule the night before clinic.
• Assist patients with forms and paperwork as needed.
• Prepare insurance forms, as needed, for physician’s signature.
• Assisting with patient referrals and/or authorizations for surgical procedures or other procedures as needed.
• Keep exam rooms clean and ensure patient rooms are neat and stocked. Notify manager of any supplies needed.
• Taking & relaying messages for nursing staff and doctors. Respond to patient calls as appropriate.
• Ensure referral forms and documents for patients are stocked at front desk or in exam rooms at all times.
• Sending correspondences to patients, physicians or staff as needed.
• Document EHR as needed.
• Will work as a team with the other team members.
• Will cover other staff for lunch and when they are out of the office. Including returning patient calls and refilling medications.
• Observing patient and staff safety policies & procedures.
