GENERAL SUMMARY

The Human Resources & Talent Onboarding Coordinator will be part of the Corporate HR team to support the recruiting/hiring for the theater operations to ensure compliance and completion of all steps in the hiring process, posting of positions, maintaining and refresh postings weekly/monthly, and assists with recruiting efforts. The Human Resources & Talent Onboarding Coordinator will assist the theater managers with general questions about the applicant tracking system and coordinate all of the hiring steps. The role will handle postings, requisitions and assist with candidate communication for special interview days and hiring events at the various theaters. Other human resource weekly tasks will include termination processing, hiring/referral bonus payouts, and assists with other general office duties.

ESSENTIAL FUNCTIONS

Objective: Assists with the requisitions and job postings as well as supports recruiting efforts.

• Activity: Under the direction of the HR Director, posts new and replacement positions
• Activity: Closes requisitions that are 30 days or older and copies and opens new requisitions to replace those.
• Activity: Posts to special job boards such as Handshake, DOL and Craigslist, and other job postings, etc as needed
• Activity Maintains the Applicant Tracking System & Onboarding and is a subject matter expert.
• Activity: Attends virtual and in-person job fairs as directed by the Human resources director

Objective: Manages the hiring process

• Activity: Reviews background reports and send to HRD for those that have positive background records to determine if approved or not.
• Activity: Initiates the onboarding process for candidates and keeps in communication with the new hire to ensure completion on a timely basis.
• Activity: Approves the new hires and audits the new hire profiles in ADP to ensure accuracy.
• Activity: Runs reports from ADP to ensure that the systems integration work between the payroll and time clock system.

Objective: Applicant tracking

• Activity: Runs weekly report and updates the Active, New hire and terms
• 
  Activity: Assist with sending blast emails to candidates to help with hiring events or candidate experience 2x a week;
• Review daily to help with applicant tracking for those who were offered positions to ensure that background consent forms are updated.
• Runs weekly reports from different job boards for the HRD to review the effectiveness of job campaigns.

Objective: Compliance tracking

• Activity: Ensures I-9s are completed within the first 3 days on the job.
• Activity: Follow up with theater managers on certificates /licenses required by state or local entities such as Food Safety Handling
• Activity: Follow up with maintaining certifications across all theaters and ensure it gets uploaded into their employee documents
• Run reports monthly for leadership by the theater to keep on track of certifications and expirations.

Objective: Supports other Human Resources tasks

• Activity: Processes weekly terminations in the system.
• Activity: Uploads pertinent documents into employee’s e-file.
• Activity: Every other week prepares any hiring/referral bonus sheets for payroll.
• Activity: Checks for mail weekly and distributes accordingly.
• Activity: Assist the HRD in different projects and tasks as assigned.

JOB REQUIREMENTS:

• College degree preferred or currently enrolled in a bachelor or associates degree program in Human Resources or related field
• At least 6 months -1 year in human resources
• Or a combination of experience and education

KNOWLEDGE

• Strong working knowledge of ADP or other similar HRIS/ ATS platforms
• Working knowledge of using Microsoft Outlook, teams , sharepoint

SKILLS

• Strong computer skills- Microsoft platforms- Outlook, Teams, Office
• Very detailed oriented and organizational skills
• Excellent communication skills (written/verbal).
• Ability to multitask and use sound judgement.
• Ability and skills to problem solve.

PHYSICAL AND ENVIRONMENTAL CONDITIONS:

• Work is performed office setting (hybrid home/office)- 3 days from office/2days home
• Be able to work in repetitive motion on the laptop/screen
• Ability to work in a fast-paced environment.

WORKING SCHEDULE:

Monday – Friday (9:30 am – 6:30 pm 1/hr lunch) , 40 hours a week
