Shemmassian Academic Consulting Hiring for Academic Coordinator Job at Remote Full Time

At Shemmassian Academic Consulting, we are looking to add an Academic Coordinator to work with our fantastic team of Academic Consultants to help students get into their dream schools through academic and extracurricular planning, as well as comprehensive application support.

Summary of Position

The Academic Coordinator is the “oil” that keeps all of the organizational pieces running smoothly and efficiently. The Academic Coordinator will wear many hats while working closely with the Sales/Marketing, Tutoring, Admissions/Advising, and Human Relations Departments to make sure that students, families, consultants, and tutors receive a trouble free experience from onboarding to their final experience with SAC. In this position the Academic Coordinator shall evaluate student needs and oversee the matching of students to the perfect consultant and/or tutor. The Academic Coordinator will also be responsible for ordering and coordinating the distribution of academic materials and resources. The Academic Coordinator will work with the Human Resources department to help hire and maintain a deep bench of highly-qualified consultants and tutors. Ultimately, the Academic Coordinator will work closely with nearly every department to do what is necessary to maintain the smooth functioning of the organization’s academic consulting and tutoring services.

Duties & Responsibilities

• Recruit and screen new potential consultants/tutors

• Conduct evaluative interviews to assess the knowledge, communication skills, and interpersonal warmness of new potential consultants/tutors

• Work with the HR and Legal Departments to create and maintain employee folders/files (including CV, headshots)

• Thoroughly train new consultants/tutors/editors so that they are ready to deliver a high level of service to students

• Prompt consultants/tutors to update their availability and personal data

• Meet with and interview students as necessary to identify and assign students to the “right” consultants/tutors/pods

• Coordinate smooth handoffs of new students from Sales/Marketing Department to new consultant/tutor

• Work with Team Leaders and other key supervisors to ensure enough available consultant/tutor bandwidth

• Perform regular “check-ins” (in concert with Team Leaders and Primary Consultants) with students and families to ensure continued satisfaction of services being provided

• Oversee consultants/tutors initial efforts to prevent and resolve service-related disputes between and among students, students’ families, consultants/tutors and step in to handle as necessary

• Keep track of advising plans and prompt sales/marketing department 4 weeks prior to ending

• Assist in the design and implementation process of student a “portal/classroom” interface

• Be prompt, organized, and accountable

• Create and maintain standard operating procedures (“SOP”) documents as issues arise and are solved as it relates to the work assigned to your position

• Work to constantly improve systems related to the delivery of services (e.g., standardization of admissions and advising curricula and resources, development and on-going maintenance of resource libraries, etc.)

• Learn and be prepared to assist the Sales/Marketing department in coordinating plan and service-related upgrades

Requirements

• Bachelor’s degree (Masters degree – preferred)

• Exceptional written communication, time management and warm interpersonal skills
• Exceptional verbal communication and management skills
• Adhere to deadlines

• Strong organizational skills, prioritization, and attention to detail

• Willingness to jump into any project and come to the aid of co-workers without first having to consider whether providing such assistance would be “within the position job description”

• Access to high-speed Internet

• Access to a computer with a camera for video chat

• Proficiency with Skype, Zoom, FaceTime, Google Calendar, Microsoft Office suite.

• Familiarity with Google Workspace + Google Drive (Calendar, Gmail, Hangouts, etc.,)

• While no prior knowledge of the MCAT test/the medical school admissions process is required, a willingness to learn is
• Openness to learning new skills with an eye toward continual professional development

• Salary commensurate with experience
