POSITION TITLE: BUSINESS MANAGER

REPORTS TO: EXECUTIVE DIRECTOR

STATUS: NON-EXEMPT

JOB SUMMARY:

The primary purpose of this position is to develop, maintain and perform bookkeeping/accounting functions for Share-A-Home, Inc. in accordance with all applicable federal, state and local laws, rules and standards.

ESSENTIAL DUTIES AND RESPONSIBITIES:

• Processes payroll bi-weekly and completes payroll tasks and functions, to include paying federal and state payroll taxes on a timely basis, as well as State Unemployment tax.
• Prepares quarterly federal and state payroll tax reports
• Prepares W-2 forms and submits as required to federal and state agencies and employees
• Prepares forms 1095-B and submits as required by IRS and mail copies to employees
• Implements employee payroll deductions
• Monitors and reports PTO totals for employees

• In cooperation with the approved standards of operation, establishes and maintains a system of accounts receivable which includes:
• Invoicing
• Collection of outstanding accounts
• Maintaining aged receivable reports for both incomes received from the State as well as Group Residential Housing (GRH)
• Balancing ledgers as necessary
• Performs various administrative tasks relating to consumers’ finances, such as receiving and processing service payments
• Tracks and notifies appropriate persons regarding late payments or errors

• Establishes and maintains a system of accounts payable to include:
• Proper coding of invoices to general ledger accounts
• Payment of bills in a timely manner and by due dates
• Determination of payment schedule according to cash flow and timelines
• Filing paid invoices
• Tracking of individual expenses as requested

• Assures that adequate financial records, payment and cost reports are submitted to authorized government agencies.

OTHER ACCOUNTING FUNCTIONS:

• Make recurring general ledger journal entries and other journal entries as required
• Prepare monthly financial statements and review for reasonableness and/or errors
• Perform final year end reconciliation of all accounts
• Prepare annual audit work papers
• Prepare annual Form 990, or the information for accountants to prepare it
• Maintain fixed asset/depreciation schedules
• Maintain prepaid insurance and other prepaid schedules
• Maintain employee files and employee medical files
• Work with Executive Director to administer benefit plans, COBRA coverage and monitor leaves of absence
• Monitor all household bank reconciliations as well as house petty cash accounts
• Design reports to provide additional information for Executive Director as requested
• Prepare and make bank deposits as necessary
• Assist in establishing and implementing written policies and procedures that reflect financial goals and objectives of the company
• Prepare and submit forms 1099 as required by federal and state governments, and to vendor or other persons the form pertains to

• Participates as a team member and offers suggestions, voices concerns and provides information regarding financial systems
• Demonstrates a “can do” attitude for process improvement and changes that need to be made
• Maintains confidentiality of all information
• Maintains a positive and professional demeanor in daily contacts
• Attends all required training sessions to increase skills and knowledge and to meet licensing requirements
• May communicate through emails, memos, and quarterly newsletter as needed

WORKING CONDITIONS:

SKILLS AND KNOWLEDGE:

MINIMUM:

• Must possess a high school diploma
• Prefer one-year experience in bookkeeping and/or accounting practices; experience with office management is a plus
• Must be able to read, write and speak the English language
• Possession of sight/hearing senses or use prosthetic devices which will enable these senses to function adequately
• Ability to make independent decisions when circumstances warrant such action
• Willingness to take initiative and adapt to circumstances
• Ability to follow daily routines while allowing for flexibility and planning creative alternatives
• Ability to use a copy machine, calculator, typewriter, computer, Word, Excel and email
