Job Description:

General Summary: The Study Abroad Program is housed in the Office of Global Engagement and contributes to the mission of empowering students and scholars to become global citizens by working to provide opportunities for all students to live and learn in a new and different cultural context. The staff of the Study Abroad Program work to ensure that students have access to educational experiences that develop the skills required to address the challenges of our increasingly interconnected world. The Study Abroad Program Manager promotes study abroad experiences that are integrated with the curriculum and aligned with best-practices in the field and with the university mission, vision, and values.

Job Duties:

The Program Manager has programmatic oversight and daily management of the Study Abroad Program and in collaboration with the Director of Global Engagement sets policies and determines procedures for study abroad programming. Working with the Director of Global Engagement, the Program Manager organizes the portfolio of formal agreements with partner universities, third party providers, and faculty-led proposals. The Program Manager has supervisory responsibilities for the Study Abroad Program student workers. Daily collaboration with faculty, administration, students, and staff is a key function of this position. The Program Manager is expected to remain active and current in the field of international education. Implementation of best-practices, innovations, technologies, organizational structures, and processes to strengthen and foster high-quality study abroad opportunities are essential for the position.

Manage Faculty-led and Partner Programs

• Collaborates with faculty to coordinate the logistics of faculty-led study abroad programs.
• Works with Director of Global Engagement to choose the right partner programs to meet the needs of students and curriculum.
• Manages all SPU faculty-led programs from inception to implementation, including supporting proposal process and curriculum approval, budget creation and management, logistical planning, student application and documentation.
• Works with vendors and third-party providers to provide logistical support for study abroad programs.
• Maintains faculty-led handbook and policy guide using best practices and university policies.

Student Services and Advising

• Primary advisor to students on the full array of study abroad opportunities; SPU faculty-led program, Partner Programs, independent programs, and study abroad internships.
• Conducts individual and group advising to counsel students on academic and personal goals, and provides information on how to work with SFS, SAS, and faculty on program and course selection and approvals, credit transfer policies, and other logistics involved in studying abroad.
• Develops expertise and understanding of the University’s curriculum and degree requirements to ensure accurate and proactive advising to students.
• In collaboration with the Director of Global Engagement, works with academic departments to identify programs and courses for majors to develop knowledge and expertise of a large portfolio of programs for which the advisor will be the primary resource.
• Advises students on health and safety issues, intercultural competency, etc.
• Facilitates large group information, pre-departure sessions, and post-return activities for students.
• Counseling students on international travel necessities such as insurance and immigration visas, requiring an awareness of current foreign and U.S. policies regarding immigration and travel.
• Provides students training on cultural adjustment and help them prepare to live in another country.

Administration of Terra Dotta

• Leads administrator of Terra Dotta software.
• Accurately tracks and reports study abroad data using Terra Dotta software, maintains accuracy and usability of website, assists the updating and maintaining web content.
• Assists in collection and analysis of assessment data for program improvement.
• Submits annual Open Doors Report and reports as requested by campus administrators.

Budget Responsibilities

• Develops study abroad program budgets within institutional budget parameters.
• Manages budgets and provides oversight & authorizes expenditures related to every faculty-led program abroad.
• Arranges for faculty reimbursements, cash advances and purchasing card reclass.

Marketing & Outreach

• Takes the lead on marketing efforts on campus for study abroad student opportunities through the creation and design of the study abroad website, development of promotional materials, management of social media channels, and planning of campus events such as study abroad fairs.
• Collaborates with the Director of Global Engagement to create a yearly marketing plan.
• Maintains relationship with third party programs and coordinates campus visits with the goal of building study abroad awareness at SPU.
• Annual updates and revisions to SPU catalog relating to study abroad programming.

Management of risk and crises

• Risk management oversight for faculty-led programs includes developing and managing procedures and materials for SPU faculty and students in collaboration with the Director of Global Engagement, University Counsel and Risk Management.
• Responds to parent and student questions/concerns regarding all aspects of study abroad including program details, health and safety and financial arrangements, insurance concerns and information.
• Develops and manages materials for short-term faculty-led programs.
• Available by cell phone and email during designated times in case of emergencies or issues that arise when students/faculty are abroad.
• Works directly with Office of Student Life on issues of student behavior or crises.

Liaison with other SPU Offices

• Works throughout the year with the various administrative offices (Business & Finance, SFS, SAS, Registration Office, Risk Management, and University Communications) to ensure clear communication and a smooth process for all involved with study abroad programs.

Support the Global Ambassadors program

• Screen applicants and assign duties for student volunteers to participate in promotional and re-entry programming.

Support the Office of Global Engagement in initiatives that increase internationalization

• Contribute ideas, assist in planning, and support initiatives from the OGE in a way that increases exposure to study abroad opportunities at SPU.

Requirements:

• Bachelor’s degree or equivalent experience in the field of international travel or education. Master’s degree or commensurate experience, a plus.
• Significant experience with increasingly responsible and broader roles in study abroad administration.
• Demonstrated skill and experience in leadership and management at a college or university.
• Experience living, studying, or working outside the United States for extended periods of time.
• Experience with crisis management, a plus.
• Must be extremely detail oriented and have interest and experience in securing travel arrangements.
• Evidence of strong interpersonal and collaboration skills.
• Should expect to work occasional evenings and weekends as needed.
• This position will likely require international travel for site visits and/or to accompany student groups.
• Experience with Banner (Ellucian) and proficiency with Terra Dotta software, preferred.

Additional Information:

Position will remain open until filled. This position is full time for 11 months per year, with July off.

Salary: $25.50 – $27.50 per hour DOE

This is a full time position with excellent benefits. SPU pays the employee premium for medical, dental, and vision insurance. SPU makes contributions to an employee HSA account and to a retirement account after one year of eligibility in the plan.
