Summary

The Sales and Events Coordinator performs a wide range of administrative duties for the Sales and Catering/Conference Services Departments

Essential Job Functions

• Provides administrative support to the sales and catering /conference service professionals
• Functions as a receptionist for the sales and marketing and catering and conference sales departments using Salamander Hotels and Resorts standards
• Fields and qualifies incoming sales and events group leads, responds to potential clients, makes introductions to proper sales managers
• Assist sales managers with venue space blocking and related tasks in iVvy
• Audits new accounts and bookings for appropriate data entry in iVvy system.
• Use iVvy to input inquiries, banquet event orders, menus; create & distribute various s
• Manage the banquet event order “master” binder & all relevant information to ensure all team members have most up to date versions of BEOs
• Distribute daily BEO Change Log and attend banquet event order meetings
• Use social tables to create diagrams for events
• Print signage and welcome cards for VIP sales guests, inputs amenity orders
• Site inspection preparation with coordination of showrooms/itinerary as requested by the DOSM / Sales Manager and offers property site tours upon request.
• Meeting and Event room setup inspection in advance of client arrival
• Attend resume and pre-conference meetings, takes notes, and distributes to relevant departments
• Facilitate contract turnover and communication between client, accounting department & event manager during turnover process
• Build sales kits, proposals, menu packets
• Serve as primary contact for on-site event coordinators
• Provide on-site coverage for events

Education/Experience

• High School diploma required.
• 2-4 years of experience in a related administrative area is preferred.

Requirements

• Knowledge of MS Power Point, Outlook, Word and Excel & iPad functionality and applications required.
• Extensive Knowledge of Delphi or iVvy is preferred.
• Provide office support to several managers at a time; work in a fast pace environment
• Communicate effectively with customers (internal and external) in a friendly and positive manner.
• Familiarity of hotel property, structure and departmental interaction.
• Ability to read, listen, write and verbally communicate effectively in English
• Be able to work in a standing and mobile position for a long period of time.
• Be able to reach, bend, stoop and lift up to 50 lbs.
• Must work well in stressful, high pressure situations.
• Must be able to prioritize and multi-task assigned duties and must be a team player.
