Saint Anne Nursing & Rehabilitation Center is located in the Meadowbrook neighborhood of North Seattle. Saint Anne provides post-acute nursing and rehabilitation services as well as long-term care.
The Medical Records Assistant is responsible for assisting the medical records and nursing departments as outlined below:
Resident Support Duties
1. Schedule resident appointments including appointments with other health care professionals
2. Follow-up as needed on all resident appointments, including communications with family members and third-parties.
3. Schedule and arrange for transportation for residents to and from appointments. Follow-up with transportation agencies to confirm and or change transportation as needed.
4. Communicate resident appointments with the Social Services Director and or DNS as needed.
5. Document all resident appointments and transportation schedule in PointClickCare (PCC). Update as needed.
6. Ensure residents on dialysis are returned to the facility in reasonable time, and if not, follow-up with the transportation provider or dialysis provider.
7. Follow-up as needed that any resident s from another health care provider is provided to the facility and the Medical Records Director.
8. Ensure that the Social Services Director is notified if there are any problems or issues with a resident appointment or transportation.
9. Direct family members to resident rooms if requested.
Clerical Duties
1. Is back-up on answering phones, transferring calls, and taking messages.
2. Keeps nurses’ station stocked with supplies, such as copy paper, pens, highlighters, scratch paper and other necessary items.
3. Keeps nurses’ station neat and orderly.
4. Monitor area of nurses’ station for unauthorized people.
5. Keeps copy machine stocked and in good order. Ensure any problems with the copy machine are brought to the attention of the Business Office for follow-up.
6. Make copies and or send faxes as requested by nursing or medical records staff.
7. Deliver flowers or packages to residents if activity staff are not available.
8. If any flowers are for the nurses’ station, make sure the water is changed daily and the flowers are tossed when finished. Notify housekeeping if items at the nurses’ station need tending to.
9. Deliver faxes received at the nurses’ station to appropriate personnel.
10. Keep required nursing forms stocked.
11. Notify central supply (generally in the Business Office) of supplies needed at the nurses’ station or other supply rooms in the building. Assist with brining up supplies.
12. Assist central supply in stocking supplies ordered at the nurses’ station or supply rooms.
13. Toss out any old food kept at the nurses. Check to make sure the resident “snack” basket has plenty of snacks for residents.
14. Log any maintenance items on the maintenance clip board.
Medical Records Assistance
1. Update daily staffing postings across from the nurses’ station as directed by Medical Records.
2. Scan items to PCC as instructed by medical records.
3. File in resident hard copy charts.
4. Assist medical records in closing out resident charts upon discharge, including boxing up discharge resident charts and properly labeling the boxes with resident’s names, and destroy dates.
5. Assist medical records in getting documents signed, returned and properly filed.
6. Assist medical records or nursing department in performing resident audits.
Dining Assistance
1. The MRA may be assigned to assist with resident’s meal times and dining experience. Generally, the DNS will determine this assignment however a charge nurse or Administrator may also make this assignment when staffing needs are indicated.
2. Assist residents to and from the dining room.
3. Assist residents to get ready to eat.
4. Serve trays or beverages to residents.
5. The MRA must learn and understand resident dietary needs and restrictions.
6. Monitor residents in the dining room. Notify nursing if any resident appears in distress or needs assistance.
7. Help deliver and pick up meal trays to residents.
Activity Assistance
1. The MRA may be assigned to assist with the activity program. The DNS or Administrator may make this assignment based on staffing needs.
2. The Activity Director will in-service the MRA on certain requirements that must be met for activity programs, such as logging which residents attend, how to access supplies and how to clean up the dining room after an activity.
