Job Summary:
The role of a talent acquisition coordinator is to support hiring and provide coverage needs with the goal of having a positive impact in areas including candidate sourcing, posting positions, scheduling interviews, pre-employment clearance process, and other ad-hoc requests. The TA Specialist greets all applicants and employees who arrive at the office, answers their recruitment related questions, and provides support for a variety of operational activities within the department. This position involves daily contact with both internal and external contacts, as well as exposure to sensitive confidential information.
Job Responsibilities:
Greets applicants and employees who arrive at the office
Assists individuals with their new hire paperwork/documentation for their onboarding appointment
Triages questions from applicants, new hires, and employees. Assists or provide guidance with their HR related questions.
Assists with interviewing scheduling process by scheduling and confirming all details related to interviews for recruiters, applicants and hiring managers as needed
Collaborate with Recruiters to write job ads and pre-screening questions for postings
Advertise job openings on careers pages, job boards and social networks
Source candidates through a variety of channels in support of our pipeline efforts
Assists with job fairs and hiring events
Meets with new hires to execute new hire paperwork including verification of I-9 documentation, as well as license/certification verification if appropriate.
Responsible for all pre-employment activities which include initiating background checks, monitoring progress, and providing regular updates to all necessary parties.
Collects and tracks all pre-employment documentation to ensure proper compliance measures are met.
Pro-actively trouble shoot issues related to employment clearance and takes appropriate steps to mitigate any situations.
Maintains applicant tracking system, to include dispositioning applicants and closing the job posts when filled.
Assists with data entry as needed and provide support for reports/metrics for Leadership
Tracks all new hires for orientation and provides weekly updates
Required Job Qualifications:
Bachelor’s degree required OR Associates Degree with a minimum of two years or more of prior administrative support experience preferably human resources, customer service, or hospitality.
Written and verbal communication skills
Exceptional interpersonal and organizational skills
Proficient in the Microsoft Office Suite.
Time management skills with the ability to prioritize multiple assignments.
Strong attention to detail with accuracy and problem resolution skills.
Excellent organizational skills.
Ability to work in a fast-paced, change-oriented environment
Preferred Job Qualifications:
Experience sourcing talent
Experience working with applicant tracking software preferred.
Experience with LinkedIn Recruiter and resume databases preferred.
Experience working in an administrative role in an HR function preferred.
