Restore Ltd Hiring for Senior Finance Administrator Job at Oxford, England Full Time

We are seeking a Senior Finance Administrator to join our friendly Support Services team, providing a finance and administration function to Restore, a mental health charity. The post is managed by the Restore Finance Director. This is a key role in the handling and distribution of information and in data entry

This is a part-time position for 21 hours per week. The annual salary is £12,240 (£20,400 FTE).

Key responsibilities:

• Shop takings: Reconciliations of shop and café takings.
• Petty Cash: To maintain and reconcile the appropriate balances for all the sites.
• Room Bookings: Taking room bookings, entering on calendar, preparing the meeting rooms and raising invoices accordingly. To provide fobs and take deposits from outside bookers. To set up contracts and terms and conditions and ask for feedback from Room bookers.
• Banking: Occasional visits to the bank for cashing cheques and paying in.
• Sage Input: Preparation and input of customers invoices and payments into Sage.
• Filing: Helping to maintain the accuracy of various information files eg. Invoices, Remittances, Gift Aid.
• Reception Duties: Dealing with visitors to Manzil Way and liaising with staff to resolve visitor’s questions etc. To photocopy and collate documents as requested. To train and supervise volunteers.
• Phone: Receiving incoming calls, taking messages and transferring calls as appropriate
• General Assistance: Helping other staff members with administrational jobs including database entry and other ad hoc duties as required. Any other duties as requested by Restore.
• Bank Reconciliations: To input all entries from bank statements and reconcile on Sage, report to be produced monthly and signed off by RC. This needs to be completed by the second week in each month.
• MHFA Invoice cover: To raise invoices when advised by MHFA instructors. Check that timely payments are received and chase bad debts.
• Aged Balances: Oversee Aged balances and chase accordingly. Train Admin Assistant to assist in this.
• E-cigarette ordering cover
• Collation of details and recovery of Gift Aid

Person Specification

An understanding of the sector, a commitment to the organisation, and empathy with service users are vital. Restore needs people who have the ability to cope with limited resources, seize opportunities and think creatively. Awareness of the stigma and other issues surrounding mental illness is important as is the ability to remain impartial, as this role may involve working in potentially sensitive areas.

Essential Requirements

• Good interpersonal and telephonic skills and able to deal effectively, cheerfully and empathetically with clients and the public both face to face and on the telephone.
• Intermediate knowledge of Microsoft Excel and Word.
• Numerate with an eye for detail.
• Well organised.
• Flexible approach to working with a variety of tasks.
• A creative approach to problem solving.
• A reliable time keeper.
• Self-confident and a self-starter but with the ability to seek assistance and support when necessary.
• Ability to work on your own initiative.

Desirable Requirements

• Knowledge of mental health issues.
• Experience of working in the voluntary sector.

Some coaches are embedded within Recovery Groups, and others work within hospital or community settings. Recovery Groups provide members with the opportunity to work on their journey of recovery together through therapeutic activity such as gardening, woodwork, catering or craft based activities.
